Minutes of the Full Committee Meeting held on Monday 12th August 2024
at 7.30 pm in the Les Williamson Room at Old Owen’s Sports Ground.

2. JLC update (John Clark)

• JC reported that the Bar and Food takings for June and July were up compared to last year. August takings have started slowly but this is expected due to the holiday season. There is not a lot going on with Events at the moment with the next scheduled events due in October (Quiz Night & Elvis Night). 

• Padel Tennis bookings are going Ok especially on a Wednesday. There has been trouble with the lights which Padel Project UK is sorting out.   

3. Matters arising from previous minutes 10^th June 2024

• None

4. Finance (RH)
   

• Richard reported that our financial situation as at 31^st July 2024 (end of the financial year) was stable. There was a surplus of 16k and a profit of £32.6k. The Bond’s value was £196.9k.
  As at the 12^th August, the HSBC account is £57.6k, the Barclays account is £12.9k and the Owenians Alumni account is £10.6k.

• JLC are in arrears with their rent payments.

• Enfield Youth still owe £150 for football pitch hire for last season.

      5.  The Ground (TL/IB)

      5.1 Ground (IB/AW)     

• Summer renovations to the Ground are required after Cricket has finished and the work previously highlighted for Pitch 1 (i.e. Tension rope, spectator barrier, sockets etc) for the Herts. League Premier Division requirements are due to be done by AW (Ward Amenity) between 14-21^st Concern was mentioned during the meeting of all the work that will be required.

• The ditch still needs clearing by AW.

• Worm treatment for the Ground is due to be done by AW at the end of September. If treatment doesn’t work will have to look at alternatives to cure the drainage problem.

• A pitch report (including photos) is required to be completed by AW and submitted for the next Football Foundation grant due in October.

 
      5.2 Electrical Installation (TL) 

• Gus Tayler (Electrical Contractor) has been given the job (circa £6.8k) and will liaise with JLC.     

6. OOASC Sports Clubs

       6.1 OOFC Football Section (/IB)

• IB reported that the 2024 -25 season will consist of 5 Old Owens teams. The additional 5^th XI (Potters Bar United U18 team from last year) will play in the SAL.

  1^st XI will play in the Premier division (Herts. Senior League)
  The 2^nd XI will play in Division 1(Herts. Senior League)
  The 3^rd XI will play in Division 4 (Herts. Senior League)
  The 4^th XI will play in Junior Division 3 North (SAL)
  The 5^th XI will play in a Junior Division TBA (SAL)

• IB reported that pitch hirers for the 2024-25 season are:

  Elizabeth Allen
  Northaw
  Roving Reporters
  Strafford
  Tansley Vets (share 1 pitch with Old Owens) 

• The Football season starts on 17^th August 2024 in the Herts. Senior League. The first Herts. Senior League match at the Ground is scheduled for Saturday 21^st September (Owens 1^st XI v Cheshunt F.C. Development k.o. 3 pm). This match is preceded in the morning by a past & present Owens Vets match.

• The last date for Football at the Ground will be 12^th April 2025.

       6.2 OOCC Cricket Section (TL) 

• Junior matches have finished but the junior venture this season has proved to be a great success.

• The 1^st XI are struggling in the Premier and are currently bottom with 4 matches to play.
  The 2^nd is 5^th in Division 5A with 4 matches to play.
  The 3^rd XI is 7^th in Division 10C with 4 matches to play.
  The 4^th friendly XI containing 13, 14 & 15 year old players have 4 more matches to play.

     6.3 Affiliated Clubs (Malcolm Oakley) 

• MO reported that Potters Bar United have lost 6 teams plus the senior team from last year, but have added 4 teams and 2 girl teams making a total of 23 teams for this season.

• MO asked if a poster could be placed on the outside wall showing a diagram of the pitches at the Ground and will include information for the FA Respect Code. The meeting agreed to MO request.

2. JLC update (John Clark)

• JC reported that the Bar and Food takings for May were a little bit down compared to April  but was thankful  for a Party and  a Wake that boosted the takings. There will be a Quiz Night arranged soon and an Elvis Night in October.  JC stated that Padel Tennis attendance is increasing and is feeling very positive with regard to the Club as a whole.    

• The new air conditioning system is working fine and no other problems currently exist.   

3. Matters arising from previous minutes 15th April 2024

• None

4. Finance (RH)
   

• Richard reported that as at 31^st May 2024 there was a deficit of £9.1k due to a substantial amount of money spent on materials & renovations to the Ground. There is currently £112k in the HSBC account, £11.2k in the Barclays account and £10.6 in the Owenians Alumni account. Richard stated that the Accounts have been finalised and filed.

• The only Football pitch hire outstanding payment is £150 for Enfield Youth.

• Alan Davison has been removed from the Bank Mandate for the HSBC account and Richard has been added as a signatory. The daily transaction limit for the HSBC account is £15k.

5. The Ground (AW/TL/IB)

   
   5.1 Ground Contractor – Ward Amenity (IB/AW)     

• AW reported that the spring renovations have been successfully completed. Extra work has been done on the pitches with 160 tons of sand together with seed at costs of circa £12k. A Pitch report is required for June & October for the Football Foundation grant (AW will provide photos and a report to the Football Foundation)

• The dimensions of Pitch 1 needs to be extended, roped off and with a compulsory spectator barrier due to Old Owens F.C 1^st XI being promoted to the Herts League Premier Division next season. 

• AW stated that he will fit the sockets for the new rope system to keep spectators off  the Cricket Square for no charge and will arrange to dig in the sockets for the compulsory spectator barrier, relocate the football goal sockets on Pitch 1 all for no charge, except for the costs of the materials required. 

• AW agreed that he would dig out the ditch for no charge so long as the Club bears the cost of the appropriate digger.

• AW has a moving water sprinkler system that will cater for Pitch 1 as well as the main Cricket outfield.

• AW will purchase a replacement roller for the Quadraplay at the Ground.

• AW will liaise with Jon Robinson (Old Owens F.C secretary) to apply for any funding that might be available for the Ground (e.g. new goals, catchnet poles, ground improvements etc). 

       5.2 Electrical Installation (TL)

• TL stated that we’ve had a report done on the electrics in the Clubhouse and Ancillary Buildings & Areas and there are a variety of issues existing. These issues need to be tackled as soon as possible as we do not have an EICR compliant certificate which is a requirement for our Insurers.
  Gus Taylor (Electrical Contractor) will be giving us a quote for the works required. Estimated time for the works required will be about a week.  

        5.3 Padel Tennis Lease (TL)

• The Padel Tennis Lease has been signed by all parties. Payments will be made in April and October (We have received the payment for April).

• HN stated that there is a School Fest on the 30^th June2024 and asked if there were any flyers available for Padel Tennis. TL will liaise with George (Padel Project UK) to provide some flyers.

6. OOASC Sports Clubs

       6.1 OOFC Football Section (PK/IB)

• PK reported that the 2024 season has finished for all the Old Owens Football teams.

  The 1^st XI finished 2^nd in Division 1 of the Herts Senior League and are promoted to the Premier division.
  The 2^nd XI won Division 2 and are promoted to Division 1 of the Herts Senior League.
  The 3^rd XI won Division 5 and are promoted to Division 4 of the Herts Senior League but lost 3-2 on pens against Elizabeth Allen after a 4-4 draw in the Greg Cup Final at Hitchin.
  The 4^th XI finished 5th in Junior Division 3 in the SAL.

• PK stated that it was looking likely that an Old Owens 5^th XI team will operate next season in the SAL.

       6.2  OOCC Cricket Section (TL) 

• Junior outdoor training is taking place on Mondays at the Ground. Junior matches for all age groups have been in action. Training and matches have been impacted by the adverse weather.

• The 1^st XI has played 5 games in the Premier Division, won 2 lost 3.
  The 2^nd has played 5 games in Division 5A, won 2 lost 3.
  The 3^rd XI has played 5 games in Division 10C, won 3 lost 2.
  The 4^th XI has played 2 friendlies, won 0 lost2.

• 2 new Cricket Nets adjoining the Padel Tennis Courts are in action. The Cricket Club might hire out the Nets at some point but would need a recognized Coach on site. 

• Fixtures organized for the Cricket Week in July 2024 to celebrate the 100^th Anniversary are as follows:

• Hannah reported that the Sports Hall needs replacing and conversations are ongoing with the Brewers and F.E. ClearyTrust to obtain funds (circa £1 million) towards a new Sports
  The School is seeking to obtain further grants from other bodies to put towards any remaining costs of the Sports Hall.

• Emma Day (Alumni Manager) has left and will be replaced by a new manager who will commence in September 2024.

• There have been 30 offers from Oxbridge universities for Owens School students. Sport at the School has been excellent in Football, Cricket and Athletics. The School is also National Badminton Champions.

• Hannah has asked if there could be more interaction from Old Owens Football and Cricket with the School especially via Social Media (e.g. photos, videos & reports).

2. JLC update (Ed Clark)

• EC reported that Bar and Food takings in March were very good due to the various functions held i.e. Darts Tournament, Poker Nights and 40 & 50’s birthdays). The Club is open 7 days a week and Padel Tennis is helping and hopefully bookings will increase when the weather warms up. Halil the Chef has been unwell so JC has been doing cooking duties in the kitchen for the past 3 weeks.
• EC will advise on the functions coming up.
• TL stated that teas will be required for Umpires and Scorers during the forthcoming Cricket Season.
    

3. Matters arising from previous minutes 5th February 2024

• None

4. Finance (TL)

• Richard reported that the finances are in a healthy position and as at 31^st March 2024 there was a surplus of £35.6k. There is currently£109.8k in the HSBC account, £11.2k in the Barclays account,  £10.6 in the Owenians Alumni account and the bond is valued at £194k.
• Football pitch hire outstanding payments are as follows:

  Northaw £3,696
  Elizabeth Allen £1,549
  Enfield Youth £150

• TL pointed out that monies will be needed for an Air Condition Unit (£3.1k + VAT) and for Ground materials.

5. The Ground (AW/TL/IB)

   5.1 Pitches Condition (TL/AW)     

• Old Owens F.C and some of the other football clubs that pay rental have complained about the standard and quality of the pitches at the Ground during this season. The Football Club highlighted that pitch drainage has been particularly bad. AW is convinced that the condition of the pitches have been affected by worm casts and the first priority would be to get rid of the worms (circa 4K) and then proceed with other works required to improve pitch conditions. AW will produce a report of the tasks required for the pitches at the Ground. The Football Foundation which has given us grants has produced guidelines for Ground works that can be followed. There is also the possibility that we might be able to getting funding for drainage works and machinery (This will be investigated).
• At the meeting the Committee agreed that it would look at investing monies that might be required for work on the pitches.

5.2 Pitches Extension (IB)     

• Old Owens F.C 1^st XI will be promoted to the Herts League Premier Division for next season and as a result Pitch 1 needs to be extended from the current measurement of 100 yards by 68 yards to a minimum of 110 yards by 70 yards. A representative from the Herts League will be invited by the Football Club to come and have a look and advise what is required to be done to Pitch 1 (The changes required should hopefully not affect the Cricket outfield).      

5.3 Padel Tennis Project (TL) 

• Padel Tennis is doing Ok despite the weather but the Lease has not been signed as yet.

6.  OOASC Sports Clubs

 6.1    OOFC Football Section (PK/IB)

• PK reported that in the Herts Senior County League, Owens 1^st XI is currently top of Division 1 and will be promoted to the Premier Division. The 2^nd XI has won Division 2 and will be promoted to Division 1. The 3^rd XI is currently 2^nd in Division 5 and will be playing against Elizabeth Allen in the Greg Cup Final at Hitchin. The 4^th XI is 4^th in their Division in the SAL.

• PK stated that there will be a discussion with PBU as to whether their U18 side who finish this season would like to come and maybe form an Old Owens 5^th XI team.

• PK stated that Football at the Ground will end on Saturday 20^th April 2024 and the Football Dinner will be Friday 17^th May 2024 at the Ground. 

6.2    OOCC Cricket Section (TL)

• Winter Nets for the Junior and Senior sections ends on the 16^th Junior nets outdoor will commence on Monday 22^nd April at the Ground.

• The Tour to St. Lucia (as part of the Cricket Club 100^th anniversary in 2024) that commenced on the 17^th February for 8 days was a success and was thoroughly enjoyed by the 34 individuals that toured. Two 40 over matches (1 won & 1 lost) and a 30 over match (won) were played. 

• There will be a working party organized for the Ground when the goals are taken down on the 27th April. 

• There is a ‘Family Day’ starting at 10.00 am plus an Inter Club Game at 1.00 pm on Saturday May 4^th. The 1^st XI is playing Hoddesdon XI at 1.15 pm at Hertford C.C. (T20 competition with Hemel Hempstead, Hertford & Hoddesdon). The Herts League season starts on Saturday 11th May.

2. JLC update (John Clark)

• JC reported that takings in December were good but January takings were affected by football matches being called off due to the weather. Padel Tennis and another dartboard area installed have increased the number of personnel coming into the Club. He stated that regulars are attending on a Sunday and Wednesday for Padel Tennis.
• There are bookings in March for an Elvis night and a Quiz night and JC is aiming to book party functions once a month.

3. Matters arising from previous minutes 11th December 2023

• None

4. Finance (TL)
   

• Richard presented figures for Profit and Loss and the Balance Sheet. As at 5^th February 2024 there was £77.2k in the HSBC bank account, £11.1k in the Barclays account and £10.6 in the Owenians Alumni account. As at that date there was a surplus of £23.5k.

• Football pitch hire payments are to be checked and chased.
• Payments for Ground Valuation, Water Bill and Outdoor Cricket Net are to be made.

5. The Ground (AW/TL/IB)     

• AW reported that the Ground is in fairly good condition despite the issues with the drainage. AW advised that Pitch 3 could do with digging a hole to check the drainage. The other pitches need looking at as well. AW thinks the problems with the condition of the Ground are due to worm casts. AW will complete the report to obtain the next grant of £18k from the Football Foundation and will enquire if any other grants are obtainable for work on the Ground.
• AW stated that the Spring Renovations will start on 22^nd April and the work to be done (i.e. mowing, scarifying, aeration, topsoil, seeding etc.) will be ‘aggressively’ performed .
• AW will liaise with Jon Robinson from the Football Club to invite representatives from the Herts Senior County League to come and advise what requirements will be needed for Pitch 1 if Owens 1^st XI get promoted to the Premier Division.
• AW stated that all the goal posts will need replacing at some point. A set is currently being borrowed from the School.
• TL advised that the Valuation of the Ground has been completed.

• TL stated that the Borehole installation has helped to reduce the Water Bill.     

• IB received a quote of £1,050 (inc. VAT) for the work required for cutting the trees. Another quote will be obtained on Friday 9^th        

       5.1 Padel Tennis Project (TL)

• Padel Tennis is doing okay despite the weather. The first rent due of £2k from Padel Tennis UK is still outstanding due to awaiting Valuation of the Ground which has now been completed.
• JC to liaise with Padel Tennis UK with regard to Electricity charges.

6. OOASC Sports Clubs

        6.1    OOFC Football Section (PK/IB)

• PK reported that in the Herts Senior County League, Owens 1^st & 2^nd teams are top of their respective Division and the 3^rd team is 2^nd in their Division but have won all their games. The 4^th XI is 4^th in their Division in the SAL.

• IB & PK have used the Astro that was removed from  the Padel Tennis Courts to line the area surrounding the dug outs on Pitch 1.

• PK stated that Football at the Ground will end on Saturday 20^th April 2024 and the Football Dinner will be Saturday 27^th April 2024.

       6.2    OOCC Cricket Section (TL) 

• Winter Nets are in full swing for the Junior and Senior sections.

• The Tour to St. Lucia (as part of the Cricket Club 100^th anniversary in 2024) commences on the 17^th February for 8 days. There will be a party of 38 travelling and fixtures consist of 2 x 40 overs and 2 x T20 overs matches. 

• There will be a Cricket Week in July 2024 to celebrate the 100^th The fixtures organised are as follows:

  Reepham C.C. (Sunday 7^th July)
  Nomad C.C. (Tuesday 9^th July)
  The School (Wednesday 10^th July)
  MCC (Thursday 11^th July) 

• Fixtures in 2024 for the 1^st, 2^nd and 3^rd teams in the Saracens Herts League have been published. The season starts on the 11th May 2024. 

• The School charged us £1,200 (inc. VAT) for the purchase of their Outdoor Cricket Net.

      6.3    Affiliated Clubs (MO)

• MO reported that PBU is running smoothly. There are 24 teams over all the age groups including a girl’s team. They are trying to get a 2^nd girls team together.

• The website is running smoothly and updated as and when necessary. The statistics for the website as at 5/02/2024 are as follows:

• The balance in the account as at 05/02/2024 is £1,029.35 (which includes £55 owing to the Harold Moore Luncheon Account).

            A double draw was made due to no draw being made at the meeting on 11/12/2023.

Minutes of the Full Committee Meeting held on Monday 11th December 2023 at 7.30 pm in the Les Williamson Room at Old Owen’s Sports Ground.

2. JLC update (John Clark)

• Takings in October and November have been down due to the weather and football matches being cancelled. December takings are looking good. Had a Quiz Night last Friday which was well attended and there is a function this weekend due to be attended by personnel from South Herts. Golf Club.
• There are no Bookings until the New Year. The Club will be open on Christmas Day and maybe Boxing Day (days and times to be confirmed).
• Flat roof repair to the Bungalow has been completed (John is now living in the Bungalow). 2-3 panels require repairs to the Bungalow fence.  

3. Matters arising from previous minutes 16th October 2023

• None

4. Finance (TL)
   

• In the absence of Richard due to illness, TL reported that as at 11th Decenber 2023 there was £77.1k in the HSBC bank account, £11.1k in the Barclays account, £10.6k in the Owenians Alumni account.
• JLC rental payments are up to date.

• IB has sent out the invoices for Football pitch hire.
• Richard will produce current financial statements for distribution to the Committee.

5. The Ground (TL/IB)     

• Renovations to the ground were done 6 weeks late which has affected the condition of the Ground. There is no drainage on one side of Pitch 3 which has caused the pitch to be boggy on that side. Drainage of the ground will be investigated to sort out the problem.
• The Cesspit has been fixed and the Car Park lights have been done.
• The Football Foundation application has been submitted for the next grant of £18K. We are awaiting approval.
• A Valuation of the Ground is required at some point (probable cost 0.5k to 1k).

      5.1 Tractor (IB)

• IB pointed out that the Tractor requires serious investigation with regard to repair and was allocated up to £500 to do so by the meeting. Other Ground equipment also requires checking i.e. Quadraplay, Gang Mowers, Rollers etc.

      5.2 Car Park Charges (IB)

• IB stated that our Car Park Charges should be looked at as other establishments in the area are charging more that we do for parking. The Paper yard currently pays us £2400 a year and the Wood yard £1200 a year and these charges have not been increased for a long time.

      5.3 Cutting Back Trees (IB)

• IB stated that the trees behind the sightscreen on Cricket pitch 1 and the Padel Tennis Courts needs to be cut back by 2-3 metres in height as they are too tall (IB will get quotes from 3 tree surgeons).        

      5.4 Padel Tennis Project (TL)

• Padel Tennis is slowly taking off despite the weather. There was a problem with the surface of the Courts which has now been relaid and the Courts are now back in use. There will be a Christmas Padel Tennis tournament at the Ground on Sunday 17^th December 2023 starting at 10 am.
• The Padel Courts are free for use by the School on a Wednesday between 2-4 pm. 

• Padel Tennis UK will pay the 1st rent due of £2k when the legal paperwork has been completed.

• A few Padel Tennis players have become new members of the Association.

      5.5 New Cricket Net (TL)

• TL received 3 quotes for installing the cricket net(s) alongside the Padel Tennis Courts. A best quote of 21.6K (inc. VAT) for a single net and £32.4K (inc. VAT) for 2 nets was discussed. It was decided that the option of 2 nets would be best as we could hire any of them out. The Nets are enclosed and lockable and each measure 34m x 10m.
• The Cricket Club will also be obtaining the outdoor Cricket Net that is available from the School. A working party from the Cricket Club will dismantle the Net at the School and relocate the Net to Old Owens Sports Ground in February 2024. 

6. OOASC Sports Clubs

       6.1    OOFC Football Section (PK)

• PK reported that Owens 1^{st ,} 2^nd & 3^rd teams are doing well in the Herts Senior County League on Saturdays and player availability is good. The 1^st XI, 2^nd XI and 3^rd XI are currently top of their respective Divisions and the 4^th XI is also doing well in the SAL on Saturdays and is currently third in their Division.

• PK stated that Football at the Ground will end on Saturday 20^th April 2024 and the Football Dinner will be Saturday 27^th April 2024. 

      6.2    OOCC Cricket Section (TL)

• The Junior section U9/10’s and U13/15’s are currently training at the School on Mondays from 5.30 – 7.30 pm. The Seniors will commence Cricket Nets at Chancellors School in January 2024 from 8 pm onwards. 

• It is the Cricket Club 100^th anniversary in 2024. The Cricket Club will be touring St. Lucia in February 2024 for 8 days as part of its celebration. There will be a Cricket week at the Ground from the 8^th – 14^th July 2024. Fixtures booked are the 10^th July (The School) and 11^th July (MCC). 

• There will 4 Owens XI playing on Saturdays at the Ground next season (i.e. No hiring to other Clubs on Saturdays). On Sundays Sri Lankan 1^st & 2^nd XI and Rosslyn 1^st & 2^nd XI will be hiring the pitches. 

      6.3    Affiliated Clubs (MO)

• MO reported that the Club is in fine fettle and that some matches have been cancelled due to the weather. MO expressed his disappointment of the condition of some of the Football pitches at the Ground.
