OOASC Full Committee meeting 15th April 2024 – Minutes

Minutes of the Full Committee Meeting held on Monday 15th April 2024
at 7.30 pm in the Main Hall at Old Owen’s Sports Ground.

  2. JLC update (Ed Clark)
  • EC reported that Bar and Food takings in March were very good due to the various functions held i.e. Darts Tournament, Poker Nights and 40 & 50’s birthdays). The Club is open 7 days a week and Padel Tennis is helping and hopefully bookings will increase when the weather warms up. Halil the Chef has been unwell so JC has been doing cooking duties in the kitchen for the past 3 weeks.
  • EC will advise on the functions coming up.
  • TL stated that teas will be required for Umpires and Scorers during the forthcoming Cricket Season.
      

  1. Matters arising from previous minutes 5th February 2024

  1. Finance (TL)

  • Richard reported that the finances are in a healthy position and as at 31st March 2024 there was a surplus of £35.6k. There is currently£109.8k in the HSBC account, £11.2k in the Barclays account,  £10.6 in the Owenians Alumni account and the bond is valued at £194k.
  • Football pitch hire outstanding payments are as follows:

    Northaw £3,696
    Elizabeth Allen £1,549
    Enfield Youth £150

  • TL pointed out that monies will be needed for an Air Condition Unit (£3.1k + VAT) and for Ground materials.
  1. The Ground (AW/TL/IB)

    5.1 Pitches Condition (TL/AW)     

  • Old Owens F.C and some of the other football clubs that pay rental have complained about the standard and quality of the pitches at the Ground during this season. The Football Club highlighted that pitch drainage has been particularly bad. AW is convinced that the condition of the pitches have been affected by worm casts and the first priority would be to get rid of the worms (circa 4K) and then proceed with other works required to improve pitch conditions. AW will produce a report of the tasks required for the pitches at the Ground. The Football Foundation which has given us grants has produced guidelines for Ground works that can be followed. There is also the possibility that we might be able to getting funding for drainage works and machinery (This will be investigated).
  • At the meeting the Committee agreed that it would look at investing monies that might be required for work on the pitches.

5.2 Pitches Extension (IB)     

  • Old Owens F.C 1st XI will be promoted to the Herts League Premier Division for next season and as a result Pitch 1 needs to be extended from the current measurement of 100 yards by 68 yards to a minimum of 110 yards by 70 yards. A representative from the Herts League will be invited by the Football Club to come and have a look and advise what is required to be done to Pitch 1 (The changes required should hopefully not affect the Cricket outfield).      

5.3 Padel Tennis Project (TL) 

  • Padel Tennis is doing Ok despite the weather but the Lease has not been signed as yet.

6.  OOASC Sports Clubs

 6.1    OOFC Football Section (PK/IB)

  • PK reported that in the Herts Senior County League, Owens 1st XI is currently top of Division 1 and will be promoted to the Premier Division. The 2nd XI has won Division 2 and will be promoted to Division 1. The 3rd XI is currently 2nd in Division 5 and will be playing against Elizabeth Allen in the Greg Cup Final at Hitchin. The 4th XI is 4th in their Division in the SAL.
  • PK stated that there will be a discussion with PBU as to whether their U18 side who finish this season would like to come and maybe form an Old Owens 5th XI team.
  • PK stated that Football at the Ground will end on Saturday 20th April 2024 and the Football Dinner will be Friday 17th May 2024 at the Ground. 

6.2    OOCC Cricket Section (TL)

  • Winter Nets for the Junior and Senior sections ends on the 16th Junior nets outdoor will commence on Monday 22nd April at the Ground.
  • The Tour to St. Lucia (as part of the Cricket Club 100th anniversary in 2024) that commenced on the 17th February for 8 days was a success and was thoroughly enjoyed by the 34 individuals that toured. Two 40 over matches (1 won & 1 lost) and a 30 over match (won) were played. 
  • There will be a working party organized for the Ground when the goals are taken down on the 27th April. 
  • There is a ‘Family Day’ starting at 10.00 am plus an Inter Club Game at 1.00 pm on Saturday May 4th. The 1st XI is playing Hoddesdon XI at 1.15 pm at Hertford C.C. (T20 competition with Hemel Hempstead, Hertford & Hoddesdon). The Herts League season starts on Saturday 11th May. 
  • Fixtures organized for the Cricket Week in July 2024 to celebrate the 100th Anniversary are as follows:

    The School (Wednesday 10th July)
    MCC (Thursday 11th July)

OOASC Full Committee meeting 5th February 2024 – Minutes

Minutes of the Full Committee Meeting held on Monday 5th February 2024 at 7.30 pm in the Les Williamson Room at Old Owen’s Sports Ground.

  2. JLC update (John Clark)
  • JC reported that takings in December were good but January takings were affected by football matches being called off due to the weather. Padel Tennis and another dartboard area installed have increased the number of personnel coming into the Club. He stated that regulars are attending on a Sunday and Wednesday for Padel Tennis.
  • There are bookings in March for an Elvis night and a Quiz night and JC is aiming to book party functions once a month.
  1. Matters arising from previous minutes 11th December 2023
  • None
  1. Finance (TL)
  • Richard presented figures for Profit and Loss and the Balance Sheet. As at 5th February 2024 there was £77.2k in the HSBC bank account, £11.1k in the Barclays account and £10.6 in the Owenians Alumni account. As at that date there was a surplus of £23.5k.
  • Football pitch hire payments are to be checked and chased.
  • Payments for Ground Valuation, Water Bill and Outdoor Cricket Net are to be made.
  1. The Ground (AW/TL/IB)     
  • AW reported that the Ground is in fairly good condition despite the issues with the drainage. AW advised that Pitch 3 could do with digging a hole to check the drainage. The other pitches need looking at as well. AW thinks the problems with the condition of the Ground are due to worm casts. AW will complete the report to obtain the next grant of £18k from the Football Foundation and will enquire if any other grants are obtainable for work on the Ground.
  • AW stated that the Spring Renovations will start on 22nd April and the work to be done (i.e. mowing, scarifying, aeration, topsoil, seeding etc.) will be ‘aggressively’ performed .
  • AW will liaise with Jon Robinson from the Football Club to invite representatives from the Herts Senior County League to come and advise what requirements will be needed for Pitch 1 if Owens 1st XI get promoted to the Premier Division.
  • AW stated that all the goal posts will need replacing at some point. A set is currently being borrowed from the School.
  • TL advised that the Valuation of the Ground has been completed.
  • TL stated that the Borehole installation has helped to reduce the Water Bill.     
  • IB received a quote of £1,050 (inc. VAT) for the work required for cutting the trees. Another quote will be obtained on Friday 9th        

       5.1 Padel Tennis Project (TL)

  • Padel Tennis is doing okay despite the weather. The first rent due of £2k from Padel Tennis UK is still outstanding due to awaiting Valuation of the Ground which has now been completed.
  • JC to liaise with Padel Tennis UK with regard to Electricity charges.
  1. OOASC Sports Clubs

        6.1    OOFC Football Section (PK/IB)

  • PK reported that in the Herts Senior County League, Owens 1st & 2nd teams are top of their respective Division and the 3rd team is 2nd in their Division but have won all their games. The 4th XI is 4th in their Division in the SAL.
  • IB & PK have used the Astro that was removed from  the Padel Tennis Courts to line the area surrounding the dug outs on Pitch 1.
  • PK stated that Football at the Ground will end on Saturday 20th April 2024 and the Football Dinner will be Saturday 27th April 2024.

       6.2    OOCC Cricket Section (TL) 

  • Winter Nets are in full swing for the Junior and Senior sections.
  • The Tour to St. Lucia (as part of the Cricket Club 100th anniversary in 2024) commences on the 17th February for 8 days. There will be a party of 38 travelling and fixtures consist of 2 x 40 overs and 2 x T20 overs matches. 
  • There will be a Cricket Week in July 2024 to celebrate the 100th The fixtures organised are as follows:

    Reepham C.C. (Sunday 7th July)
    Nomad C.C. (Tuesday 9th July)
    The School (Wednesday 10th July)
    MCC (Thursday 11th July) 

  • Fixtures in 2024 for the 1st, 2nd and 3rd teams in the Saracens Herts League have been published. The season starts on the 11th May 2024. 
  • The School charged us £1,200 (inc. VAT) for the purchase of their Outdoor Cricket Net.

      6.3    Affiliated Clubs (MO)

  • MO reported that PBU is running smoothly. There are 24 teams over all the age groups including a girl’s team. They are trying to get a 2nd girls team together.

Minutes of the Full Committee Meeting held on Monday 11th December 2023 at 7.30 pm in the Les Williamson Room at Old Owen’s Sports Ground.

  2. JLC update (John Clark)
  • Takings in October and November have been down due to the weather and football matches being cancelled. December takings are looking good. Had a Quiz Night last Friday which was well attended and there is a function this weekend due to be attended by personnel from South Herts. Golf Club.
  • There are no Bookings until the New Year. The Club will be open on Christmas Day and maybe Boxing Day (days and times to be confirmed).
  • Flat roof repair to the Bungalow has been completed (John is now living in the Bungalow). 2-3 panels require repairs to the Bungalow fence.  
  1. Matters arising from previous minutes 16th October 2023
  • None
  1. Finance (TL)
  • In the absence of Richard due to illness, TL reported that as at 11th Decenber 2023 there was £77.1k in the HSBC bank account, £11.1k in the Barclays account, £10.6k in the Owenians Alumni account.
  • JLC rental payments are up to date.
  • IB has sent out the invoices for Football pitch hire.
  • Richard will produce current financial statements for distribution to the Committee.
  1. The Ground (TL/IB)     
  • Renovations to the ground were done 6 weeks late which has affected the condition of the Ground. There is no drainage on one side of Pitch 3 which has caused the pitch to be boggy on that side. Drainage of the ground will be investigated to sort out the problem.
  • The Cesspit has been fixed and the Car Park lights have been done.
  • The Football Foundation application has been submitted for the next grant of £18K. We are awaiting approval.
  • A Valuation of the Ground is required at some point (probable cost 0.5k to 1k).

      5.1 Tractor (IB)

  • IB pointed out that the Tractor requires serious investigation with regard to repair and was allocated up to £500 to do so by the meeting. Other Ground equipment also requires checking i.e. Quadraplay, Gang Mowers, Rollers etc.

      5.2 Car Park Charges (IB)

  • IB stated that our Car Park Charges should be looked at as other establishments in the area are charging more that we do for parking. The Paper yard currently pays us £2400 a year and the Wood yard £1200 a year and these charges have not been increased for a long time.

      5.3 Cutting Back Trees (IB)

  • IB stated that the trees behind the sightscreen on Cricket pitch 1 and the Padel Tennis Courts needs to be cut back by 2-3 metres in height as they are too tall (IB will get quotes from 3 tree surgeons).        

      5.4 Padel Tennis Project (TL)

  • Padel Tennis is slowly taking off despite the weather. There was a problem with the surface of the Courts which has now been relaid and the Courts are now back in use. There will be a Christmas Padel Tennis tournament at the Ground on Sunday 17th December 2023 starting at 10 am.
  • The Padel Courts are free for use by the School on a Wednesday between 2-4 pm. 
  • Padel Tennis UK will pay the 1st rent due of £2k when the legal paperwork has been completed.
  • A few Padel Tennis players have become new members of the Association.

      5.5 New Cricket Net (TL)

  • TL received 3 quotes for installing the cricket net(s) alongside the Padel Tennis Courts. A best quote of 21.6K (inc. VAT) for a single net and £32.4K (inc. VAT) for 2 nets was discussed. It was decided that the option of 2 nets would be best as we could hire any of them out. The Nets are enclosed and lockable and each measure 34m x 10m.
  • The Cricket Club will also be obtaining the outdoor Cricket Net that is available from the School. A working party from the Cricket Club will dismantle the Net at the School and relocate the Net to Old Owens Sports Ground in February 2024. 
  1. OOASC Sports Clubs

       6.1    OOFC Football Section (PK)

  • PK reported that Owens 1st , 2nd & 3rd teams are doing well in the Herts Senior County League on Saturdays and player availability is good. The 1st XI, 2nd XI and 3rd XI are currently top of their respective Divisions and the 4th XI is also doing well in the SAL on Saturdays and is currently third in their Division.
  • PK stated that Football at the Ground will end on Saturday 20th April 2024 and the Football Dinner will be Saturday 27th April 2024. 

      6.2    OOCC Cricket Section (TL)

  • The Junior section U9/10’s and U13/15’s are currently training at the School on Mondays from 5.30 – 7.30 pm. The Seniors will commence Cricket Nets at Chancellors School in January 2024 from 8 pm onwards. 
  • It is the Cricket Club 100th anniversary in 2024. The Cricket Club will be touring St. Lucia in February 2024 for 8 days as part of its celebration. There will be a Cricket week at the Ground from the 8th – 14th July 2024. Fixtures booked are the 10th July (The School) and 11th July (MCC). 
  • There will 4 Owens XI playing on Saturdays at the Ground next season (i.e. No hiring to other Clubs on Saturdays). On Sundays Sri Lankan 1st & 2nd XI and Rosslyn 1st & 2nd XI will be hiring the pitches. 

      6.3    Affiliated Clubs (MO)

  • MO reported that the Club is in fine fettle and that some matches have been cancelled due to the weather. MO expressed his disappointment of the condition of some of the Football pitches at the Ground.

  2. JLC update (John, Ed & Lynn Clark)
  • Due to the absence of all JLC personnel no updates could be given.
  1. Matters arising from previous minutes 21st August 2023
  • The MCR tills have been replaced together with new screens and a new agreement is in place.
  • JLC have commenced the rental payments that were proposed.
  1. Finance (Richard Hattrell)
  • Richard advised in his absence, that as at 30th September 2023 there was £86.7k in the HSBC bank account, £11.1k in the Barclays account, £10.6k in the Owenians Alumni account and a surplus of £6.7k.
  • The outstanding monies owing for Cricket pitch hire is £1,070 by Sri Lankan Cavaliers.
  • Richard is awaiting details for the Football pitch hire rentals and will raise the invoices when received.
  1. The Ground (TL/IB)

       5.1 Ground

  • Autumn renovations have not been done. Cricket renovations have been completed but were late.
  • The next Football Foundation grant (£18k) is due in October 2023. There is a need to find out what work to the Ground is required to receive the grant (TL & IB to contact and liaise with Andy Ward).
  • TL reported that there is a problem with the Cesspit. The Mains supply is burnt out and an electrician is due to come in and fix hopefully by the end of this week.        

       5.2 Padel Tennis Project

  • Progress is good and the Padel Courts are nearly finished. Scheduled to have an ‘Open Day’ on Sunday 5th November 2023. Flyers are due to be sent out next week by Padel Tennis Uk. 
  • The Padel Courts will be free for use by the School once a week between 2-4 pm. 
  • AH will be seeking Padel Tennis members to enrol as Association members.

  • IB reported that Owens 1st , 2nd & 3rd teams are doing well in the Herts League on Saturdays and player availability is good. Owens 4th XI are also doing well in the SAL on Saturdays.
  • Thanks to Ed Clark & Paul Kennedy for getting things ready for Football in the space of a week after the Cricket season finished. 

      6.2    OOCC Cricket Section (TL) 

  • The 1st XI achieved their objective of staying up in the Premiership. The 2nd XI finished mid-table in Division 5A and the 3rd XI won Division 11C with the aid of 2 juniors playing in the team for every match.

OOASC Full Committee Meeting 21st August 2023 – Minutes

Minutes of the Full Committee Meeting held on Monday 21st August 2023
at 7.30 pm in the Les Williamson Room at Old Owen’s Sports Ground.

  2. JLC update (John, Ed & Lynn Clark)
  • JLC produced the Bar & Food figures from January to July 2023. Bar and Food income for July has increased compared to June but down on last year’s figures.
  • JLC reported that there are party bookings in the next few weeks and 2 wakes. Looking to book tribute acts, quiz nights and hopefully some bookings for Christmas. Also looking to resurrect a function for New Years Day.
  • JLC considering putting up beer prices due to outside price increases. JLC are having problems with acquiring a new Till System from MCR even though we have a maintenance agreement with them (TL & Richard to check the agreement). JLC to see if there are better deals with regard to Utility Bills.
  • JLC looking forward to the commencement of Padel Tennis with operating times from 8 am to 10 pm daily and will advertise in the local papers and are considering doing breakfast. JLC have also acquired 3 additional tables and 12 chairs for the Patio.
  • JLC agreed to the proposal from the Committee with regard to payments for the rent as follows:

       There will be a rent payment holiday from the 1/4/2023 to 30/9/2023 except for
       payments for the Bungalow and Rates. The arrears owing for rent will be repaid over 12
       months from August 2023.

       Revised payments on the original rent amount will be paid from October 2023 to March
       2024 with the original rent amount payment recommencing from April 2024 and price
        increase on the rent frozen until 31/7/2025. 

  1. Matters arising from previous minutes 7th June 2023

  1. Finance (Richard Hattrell)
  • Richard presented figures for Profit and Loss and the Balance Sheet. As at 31st July 2023 there was £86.6k in the HSBC bank account, £10.9k in the Barclays account, £10.6k in the Owenians Alumni account and a surplus of £13.5k. Richard stated that the figures do not include any costs for Autumn renovations (circa £4.5k) which will be done at the end of the Cricket season and before the start of the Football season.
  • Richard will check the value of the Investment Bond and will have a look at the estimated Water Bill received & try and get a reading done. He will also look at the details sent in a letter regarding ownership of the Bungalow.
  • Richard is looking into opening a new Barclays account in the name of Old Owens Association & Sports Club Ltd to replace the current Old Owens Association account (where Association membership is paid into by Standing Orders).
  • Richard stated that Baxter & Co. Solicitors have filed the Association Accounts in Companies House.
  1. The Ground (Tim Lane)

      5.1 Ground 

  • Autumn renovations will be done after the Cricket season finishes and before the start of Football (Andy Ward).
  • The next Football Foundation grant (£18k) is due in October 2023 and there is a need to find out what is required to obtain the grant (TL, IB, Andy Ward & Jon Robinson to liaise). If successful we can look at installing an irrigation system and a sprinkler & 130m hose.

      5.2 Clubhouse Refurbishment 

  • TL has contacted Jackie Campbell with regard to progress on obtaining a blinds contractor for the Main Bar area.  

      5.3 Paddle Tennis Project

  • The disused Tennis Courts have been cleared and the surface has been laid for 2 double courts and a potential single court. Padel Tennis UK is awaiting confirmation of the Planning application submitted which should be imminent. 
  • Padel Tennis UK to liaise with JLC with regard to the running etc when completed. 
  • Need to look at Car Parking especially on busy days and might need to have martials in attendance. 
  1. OOASC Sports Clubs

      6.1    OOFC Football Section (PK/IB)

  • Owens teams will be playing in the Herts League on Saturdays this season in Div 1, Div 2 and Div 5 (Matches commence on the 2nd September 2023). There will be an Owens 4th XI playing on Saturdays in the SAL (Regionalised). There will be no Vets XI this season on Sundays.

      6.2    OOCC Cricket Section (TL)

  • The Junior section was a success this season with many juniors turning up for Monday night training under their respective age groups. Matches were also played against other Clubs (i.e. U9, U12 & U14) and the progress and the improvements of players were significant. Also 2 juniors were selected to play each week on a Saturday for the 3rd XI in the Saracens Herts. League (Division 11C) and all did themselves proud, which bodes well for the future of Old Owens Cricket.
  • The 1st XI are near the bottom of the Premiership with 2 matches to go. At worst the 1st XI will play the Championship runner up in a play-off. The 2nd XI is near the top and best case scenario is a runner up spot. The 3rd XI is top and requires 1 win from the last 2 games to win Division 11C. 
  • There is a possibility that Old Owens will be running a 4th XI next year on Saturdays in a Friendly League. 
  • IB advised that a mobile Cricket Net Cage from Owens School is available (TL to follow up). 

      6.3    Affiliated Clubs 

  • MO reported that there will be 3 new U7 teams this season plus 23 boys teams (U7-U18) and 1 girls team (U10). Start on 9th September 2023.
  • MO enquired about Association Membership for parents of the teams (AH to liaise with MO).
