OOASC Full Committee meeting 16th October 2023 – Minutes

Minutes of the Full Committee Meeting held on Monday 16th October 2023
at 7.30 pm in the Les Williamson Room at Old Owen’s Sports Ground.

  2. JLC update (John, Ed & Lynn Clark)
  • Due to the absence of all JLC personnel no updates could be given.
  1. Matters arising from previous minutes 21st August 2023
  • The MCR tills have been replaced together with new screens and a new agreement is in place.
  • JLC have commenced the rental payments that were proposed.
  1. Finance (Richard Hattrell)
  • Richard advised in his absence, that as at 30th September 2023 there was £86.7k in the HSBC bank account, £11.1k in the Barclays account, £10.6k in the Owenians Alumni account and a surplus of £6.7k.
  • The outstanding monies owing for Cricket pitch hire is £1,070 by Sri Lankan Cavaliers.
  • Richard is awaiting details for the Football pitch hire rentals and will raise the invoices when received.
  1. The Ground (TL/IB)

       5.1 Ground

  • Autumn renovations have not been done. Cricket renovations have been completed but were late.
  • The next Football Foundation grant (£18k) is due in October 2023. There is a need to find out what work to the Ground is required to receive the grant (TL & IB to contact and liaise with Andy Ward).
  • TL reported that there is a problem with the Cesspit. The Mains supply is burnt out and an electrician is due to come in and fix hopefully by the end of this week.        

       5.2 Padel Tennis Project

  • Progress is good and the Padel Courts are nearly finished. Scheduled to have an ‘Open Day’ on Sunday 5th November 2023. Flyers are due to be sent out next week by Padel Tennis Uk. 
  • The Padel Courts will be free for use by the School once a week between 2-4 pm. 
  • AH will be seeking Padel Tennis members to enrol as Association members.
     
  1. OOASC Sports Clubs

       6.1    OOFC Football Section (IB)

  • IB reported that Owens 1st , 2nd & 3rd teams are doing well in the Herts League on Saturdays and player availability is good. Owens 4th XI are also doing well in the SAL on Saturdays.
  • Thanks to Ed Clark & Paul Kennedy for getting things ready for Football in the space of a week after the Cricket season finished. 

      6.2    OOCC Cricket Section (TL) 

  • The 1st XI achieved their objective of staying up in the Premiership. The 2nd XI finished mid-table in Division 5A and the 3rd XI won Division 11C with the aid of 2 juniors playing in the team for every match. 
  • There will be an Owens 4th XI playing next year on Saturdays in a Friendly League. 
  • There will be an increase of 10% for all Clubs hiring pitches next season. 
  • TL liaised with Jackie Campbell from the School with regard to a mobile Cricket Net Cage that is available (Purchase price to be agreed). Dismantling and transport from the School and Ground will be required. 

       6.3    Affiliated Clubs (MO)

  • Due to the absence of MO there was no update available.

  • The website is running smoothly and is updated as and when necessary. Visitors and visits have increased since the August statistics.
  • The statistics for the website as at 15/10/2023 are as follows:

    Last 30 days there were 1,319 visitors with 4,830 visits
    Last 90 days there were 3,831 visitors with 14,577 visits

OOASC Full Committee Meeting 21st August 2023 – Minutes

Minutes of the Full Committee Meeting held on Monday 21st August 2023
at 7.30 pm in the Les Williamson Room at Old Owen’s Sports Ground.

  2. JLC update (John, Ed & Lynn Clark)
  • JLC produced the Bar & Food figures from January to July 2023. Bar and Food income for July has increased compared to June but down on last year’s figures.
  • JLC reported that there are party bookings in the next few weeks and 2 wakes. Looking to book tribute acts, quiz nights and hopefully some bookings for Christmas. Also looking to resurrect a function for New Years Day.
  • JLC considering putting up beer prices due to outside price increases. JLC are having problems with acquiring a new Till System from MCR even though we have a maintenance agreement with them (TL & Richard to check the agreement). JLC to see if there are better deals with regard to Utility Bills.
  • JLC looking forward to the commencement of Padel Tennis with operating times from 8 am to 10 pm daily and will advertise in the local papers and are considering doing breakfast. JLC have also acquired 3 additional tables and 12 chairs for the Patio.
  • JLC agreed to the proposal from the Committee with regard to payments for the rent as follows:

       There will be a rent payment holiday from the 1/4/2023 to 30/9/2023 except for
       payments for the Bungalow and Rates. The arrears owing for rent will be repaid over 12
       months from August 2023.

       Revised payments on the original rent amount will be paid from October 2023 to March
       2024 with the original rent amount payment recommencing from April 2024 and price
        increase on the rent frozen until 31/7/2025. 

  1. Matters arising from previous minutes 7th June 2023
  • None
  1. Finance (Richard Hattrell)
  • Richard presented figures for Profit and Loss and the Balance Sheet. As at 31st July 2023 there was £86.6k in the HSBC bank account, £10.9k in the Barclays account, £10.6k in the Owenians Alumni account and a surplus of £13.5k. Richard stated that the figures do not include any costs for Autumn renovations (circa £4.5k) which will be done at the end of the Cricket season and before the start of the Football season.
  • Richard will check the value of the Investment Bond and will have a look at the estimated Water Bill received & try and get a reading done. He will also look at the details sent in a letter regarding ownership of the Bungalow.
  • Richard is looking into opening a new Barclays account in the name of Old Owens Association & Sports Club Ltd to replace the current Old Owens Association account (where Association membership is paid into by Standing Orders).
  • Richard stated that Baxter & Co. Solicitors have filed the Association Accounts in Companies House.
  1. The Ground (Tim Lane)

      5.1 Ground 

  • Autumn renovations will be done after the Cricket season finishes and before the start of Football (Andy Ward).
  • The next Football Foundation grant (£18k) is due in October 2023 and there is a need to find out what is required to obtain the grant (TL, IB, Andy Ward & Jon Robinson to liaise). If successful we can look at installing an irrigation system and a sprinkler & 130m hose.

      5.2 Clubhouse Refurbishment 

  • TL has contacted Jackie Campbell with regard to progress on obtaining a blinds contractor for the Main Bar area.  

      5.3 Paddle Tennis Project

  • The disused Tennis Courts have been cleared and the surface has been laid for 2 double courts and a potential single court. Padel Tennis UK is awaiting confirmation of the Planning application submitted which should be imminent. 
  • Padel Tennis UK to liaise with JLC with regard to the running etc when completed. 
  • Need to look at Car Parking especially on busy days and might need to have martials in attendance. 
  1. OOASC Sports Clubs

      6.1    OOFC Football Section (PK/IB)

  • Owens teams will be playing in the Herts League on Saturdays this season in Div 1, Div 2 and Div 5 (Matches commence on the 2nd September 2023). There will be an Owens 4th XI playing on Saturdays in the SAL (Regionalised). There will be no Vets XI this season on Sundays.

      6.2    OOCC Cricket Section (TL)

  • The Junior section was a success this season with many juniors turning up for Monday night training under their respective age groups. Matches were also played against other Clubs (i.e. U9, U12 & U14) and the progress and the improvements of players were significant. Also 2 juniors were selected to play each week on a Saturday for the 3rd XI in the Saracens Herts. League (Division 11C) and all did themselves proud, which bodes well for the future of Old Owens Cricket.
  • The 1st XI are near the bottom of the Premiership with 2 matches to go. At worst the 1st XI will play the Championship runner up in a play-off. The 2nd XI is near the top and best case scenario is a runner up spot. The 3rd XI is top and requires 1 win from the last 2 games to win Division 11C. 
  • There is a possibility that Old Owens will be running a 4th XI next year on Saturdays in a Friendly League. 
  • IB advised that a mobile Cricket Net Cage from Owens School is available (TL to follow up). 

      6.3    Affiliated Clubs 

  • MO reported that there will be 3 new U7 teams this season plus 23 boys teams (U7-U18) and 1 girls team (U10). Start on 9th September 2023.
  • MO enquired about Association Membership for parents of the teams (AH to liaise with MO).

OOASC Full Committee meeting 7th June 2023 – Minutes

Minutes of the Full Committee Meeting held on Wednesday 7th June 2023
at 7.30 pm in the Les Williamson Room at Old Owen’s Sports Ground.

                           Malcolm Oakley(MO) was introduced at the meeting as the new
                           representative on the Committee for Potters Bar United F.C.

  2. JLC update (John, Ed & Lynn Clark)
  • JLC produced the Bar & Food figures from January to May 2023 and reported that although the figures showing didn’t look too bad, it wasn’t a true reflection of the current state of the business. JLC stated that they lost many games of Football in March and at the start of the Cricket Season due to the weather and that Football teams playing on a Saturday are no longer staying as long as before and that some teams playing Football on a Sunday do not stay at all after matches.
  • JLC also reported that functions are down, prices of beer have increased and no grants are forthcoming and as a result the business is currently struggling. JLC asked the Committee for a deferral on the rent for 3 months in addition to the 2 months rent that is currently owed.
  • TL is asking Committee members to offer their thoughts & suggestions with regard to the request from JLC for a deferral on the rent. JLC are to be encouraged to produce a plan of ways to drum up their business.
  1. Matters arising from previous minutes 3rd April 2023
  • None
  1. Finance (Richard Hattrell)
  • Richard presented figures for Profit and Loss and the Balance Sheet and reported that the Accounts are currently in a good state. As at 10th May 2023 there was £101k in the HSBC bank account, £9k in the Barclays account, £9k in the Owenians Alumni account and a surplus of £36.4k. Richard stated that the figures do not include any costs for Ground renovations (TL pointed out that renovations will be done at the end of the Cricket season and before the start of Football).
  • Part payment from Tansley F.C. for football pitch rental is still due (£1,960). Richard stated that he has received advance payment for cricket rental from Sri Lanka Cavaliers.
  • Richard highlighted that Baxter & Co. Solicitors have not done the Association Accounts which was due at the end of April 2023.
  1. The Ground (Tim Lane)

       5.1 Ground

  • The Ground was under water at the start of the Cricket season, so spring renovations could not be completed. Looking to complete renovations at the end of the Cricket season and before Football starts. The main drains & surface water drains also require maintenance (circa £500). The Boreholes are operating well but there is a need to purchase a travelling sprinkler system. The lighting in the Car Park requires checking and maintenance.

      5.2 Clubhouse Refurbishment

  • TL is still looking for assistance from Committee members with regard to colour schemes for walls, ceiling, doors etc. for the Clubhouse. HN to enquire at the School for any help.   

       5.3 Paddle Tennis Project

  • TL has signed the ‘Head of Terms Agreement’ with Padel Tennis UK on behalf of the Association.
    Padel Tennis UK is drawing up a Lease with their Solicitors and we have appointed solicitors (i.e. Crane Staples) to check the Lease when completed (Padel Tennis UK to pay the cost). Planning application was submitted in May by Padel Tennis UK and is scheduled for completion in August.
  • TL is currently clearing the disused Tennis Courts so that the surface can be laid, which has been scheduled for July. The floodlights will be the last items to be installed and opening of Padel Tennis is scheduled for October.
  • Padel Tennis UK has asked if their members can use the toilets & changing rooms in the pavilion. 
  1. OOASC Sports Clubs

       6.1    OOFC Football Section (IB)

  • IB stated that all 3 Owens teams will be playing in the Herts League next season (Divisions not yet known) and a possible Owens Vets team will play on Sundays in a Vets League.
  • The next Football Foundation grant (£18k) is due in October 2023 and there is a need to find out what is required to obtain the grant (TL, IB, Andy Ward & Jon Robinson to liaise).

       6.2    OOCC Cricket Section (TL)

  • The Junior section aged 5-14 are currently training on Monday nights at the Ground. There are 3 junior teams playing in the League (i.e. U9, U12 & U14). All 3 teams are showing signs of improvement.
  • The 1st XI are finding it tough in the premiership at the moment although they did win their 1st match away to Harpenden. The 2nd XI are third in their league and the 3rd XI are top of their league having won all 3 matches played so far.

       6.3    Affiliated Clubs

  • MO reported that there are 23 teams at PBU but will be losing the U14 and U18 teams. There are 3 new U7 teams and the Club will be making use of a 3G pitch at Chancellors School next season.
  • MO stated that the Club is currently in a strong position and moving forward but is unsure as to whether Nasco the Chairman, will remain at the Club next season.
  1. OOASC Membership (Alan Hunter) 
  • AH reported that subscription payments received so far from 1st August 2022 are £2,836 (22 Associate, 116 Full members & 29 Cricket members). 8 paying members have lapsed and there are 17 Honorary (non-payments) and 198 Life members (non-payments).
  1. Old Owens Website (Alan Hunter)
  • The website is up and running smoothly with regular traffic and is updated as and when necessary. Media UK Ltd has recently updated the servers hosting the website which they tested successfully.
  • The statistics for the website as at 06/06/2023 are as follows:
    Last 7 days there were 735 visitors with 1,411 visits
    Last 30 days there were 1,961 visitors with 6,686 visits
    Last 9 days there were 6,387 visitors with 21,895 visits
    Last 365 days there were 25,921 visitors with 99,638 visits

OOASC Full Committee meeting 3rd April 2023 – Minutes

Minutes of the Full Committee Meeting held on Monday 3rd April 2023 at 7.30pm in the Main Hall at Old Owen’s Sports Ground.

  2. JLC update:(John Clark)
  • JLC reported that bar takings for February was okay but takings for March were affected by the cancellation of Football matches at the Ground. 60 people turned up for the Quiz Night at the end of March which helped.
  • JLC stated that there are a few parties and an Elvis Night booked for April. He added that hopefully the weather will change for the better to encourage people to come to the Club. John intends to give out prizes at his Golf Club for Thai Dinners to introduce other clientele to the Club.    
  • JLC are looking to get some new furniture for the outside Patio area.
  • JLC reported that some of the lighting needs to be replaced in the Car Park (TL will seek to get a contractor).
  1. Matters arising from previous minutes 6th February 2023
  • Authorisation for signatories on the Barclays account has been completed.
  1. Finance (Richard Hattrell)

  • Richard presented figures for Profit and Loss and the Balance Sheet and reported that the Accounts are in a good state. As at 3rd April 2023 there was £99k in the HSBC bank account, £9k in the Barclays account, £8.8k in the Owenians Alumni account and a surplus of £49.2k.
  • Full outstanding football rental payments are due from Elizabeth Allen and Northaw and part payment is due from Tansley.
  • Cosmur owes circa £1.5k for rent.
  1. The Ground (Tim Lane)

      5.1 Ground

  • Ground renovations need to be done in the next 3 months. When completed we are looking to purchase a sprinkler & approx. 130m hose (circa £1.5k).

      5.2 Borehole Project

  • The Borehole Project has been completed at a cost of £30k (less ECB grant of £10k & 18.5k grant from the Grass Pitch Maintenance Fund), so effectively the overall cost was 1.5k. 

      5.3 Irrigation Project

  • Received a quotation from Plantex UK of circa £25k (plus Vat) to provide an irrigation system around the Ground. The project will be deferred until October 2023 when we receive the next 18.5k grant from the Grass Pitch Maintenance Fund.

       5.4 Clubhouse Refurbishment

  • New flooring has been completed in the Entrance Hall, Main Hall, Kitchen, Bar Lounge & Les
    Williamson room at a cost of 9k (Thanks to TL for organising and getting the flooring completed with his team of helpers).

  • The next stage of the refurbishment will be walls, ceiling, doors etc. with regard to colours (TL is asking for any help from Committee members). Also looking to re-site the trophy cabinets on the walls.    

      5.5 Paddle Tennis Project

  • The project is moving forward well. OOASC Directors/Trustees Ian Breeze, Richard Hattrell, Paul Kennedy, Ken Rowswell, Sally Tanner & Vincent Tanner have given written consent for Tim Lane to sign the Head of Terms Agreement on behalf of OOASC with SR Sports Consultancy Ltd (Steve Riley). Padel Tennis at the Ground is looking to commence from 1st October 2023 (Steve Riley is planning to be on site for the first 3 months to foresee the administration).
  • Steve Riley has passed a duties and responsibilities document to JLC to look at and comment with regard to their involvement when Padel Tennis commences. 
  1. OOASC Sports Clubs

       6.1    OOFC Football Section (PK/IB)

  • PK reported that fixtures have been cancelled due to the weather especially during March. There are only a few matches remaining for all 3 teams. The 1St XI is currently 3rd in the League. The 2nd and 3rd XI teams both lost in their Old Boys Cup Finals. The Vets team has folded for the remainder of this season due to player availability.
  • PK stated that all 3 Owens teams will be leaving the SAL next season and will be going into the Herts League (Divisions not yet decided).
  • Football pitches closing date is 16th
  • OOFC Dinner is Saturday 29th April at the Ground.

      6.2    OOCC Cricket Section (TL) 

  • The Junior section net sessions at the School ended on Monday 27th The first outdoors training session and registration for Juniors at Owens Ground will be Monday 24th April. There will be 3 teams U9, U12 & U14 playing during the season.
  • Indoor nets for the Senior teams are currently on Tuesdays at Chancellors School at 8 pm. Outside nets at the Ground will commence on 17th
  • The 1st XI will play Hertford (away) on the 15th April followed by matches for the 1st & 2nd XI on the 22nd April away to Winchmore Hill.
  • The first Cricket matches at the Ground is Sunday 23rd April.
  • On the 29th April there will be an Inter Club match at the Ground. The 1st XI will be at Radlett in a T20 competition.
  • Saracen League fixtures for all 3 teams start on Saturday 6th May.   

       6.3    Affiliated Clubs 

  • Potters Bar United are still undergoing internal changes at the moment but finish their football season in 2 weeks time. 
  1. OOASC Membership (Alan Hunter) 
  • AH reported that subscription payments received so far from 1st August 2022 are £2,032 (18 Associate & 110 Full members) & 8 members have lapsed. A Subscription payment has also been received from OOFC for £1,320 (63 members). Expected subscription payments due from OOCC members once the season starts will be circa £800.

  • The website is up and running smoothly with regular traffic and is updated as and when necessary.

             A draw was made at the meeting by PK.
             The winner of the £50 1st prize is Grace Rowswell (Ball no. 4).

  • Sandyann Cannon was paid a cheque for £880 on the 2nd March from the funds of £935 collected in the Zoo Club bank account for the Harold Moore Luncheon that took place on the 23rd February 2023. There is a balance remaining of £55 which will be transferred out to the new Harold Moore Luncheon account when set up.

OOASC Full Committee meeting 6th February 2023 – Minutes

Minutes of the Full Committee Meeting held on Monday 6th February 2023 at 7.30pm in the Main Hall at Old Owen’s Sports Ground.

  2. JLC update (John//Lynn/Ed Clark)
  • JLC reported that bar takings for January was affected by the cancellation of Football matches due to the weather but added that the situation is now picking up.
  • JLC are trying to have more events and bookings during the week especially on Fridays & Sundays. Events are booked for all the Fridays in March. Bar staffing is good as pupils from the School are currently being used.
  • JLC are looking to get new furniture for the Bar area (Needs to be co-ordinated with the planned refurbishment of the Clubhouse). Lynn stated that flooring will be needed for the kitchen and behind the bar due to Health & Safety.
  • Ed is really excited and encouraged by the Padel Tennis project which should lead to more customers on the premises and be good for business. He doesn’t see any problem with opening the premises on all days and earlier than it is at the moment e.g. 9.00 am.
  1. Matters arising from previous minutes 3rd October 2022
  • TL has received a code and PINsentry machine from Barclays to access the bank account.

  • TL has sent Richard a copy of the Association Charitable Trust Deed.

  1. Finance (Richard Hattrell)

  • Richard presented figures for Profit and Loss and the Balance Sheet and reported that the Accounts are in a good state. As at 6th February 2023 there was £116k in the HSBC bank account, £9k in the Barclays account, £9.8k in the Owenians Alumni account and a surplus of £64.1k.

  • Full outstanding football rental payments are due from Elizabeth Allen and Northaw and part payments are due from Tansley and OOFC.

  • Authorisation for the Mandate change for signatories on the Barclays account is near completion.

  1. The Ground (Tim Lane)

       5.1 Ground

  • The grass pitches are fine but a bit dry. Vertidraining has been done but reseeding will need to be done. The cricket squares are fine and in good condition.

      5.2 Borehole Project

  • The ECB grant of £10k has been received and is currently in the OOCC account which will be transferred to the OOASC account. The borehole will be drilled 120m below ground level and will enable the Ground to have pressurised water for watering the Ground. The cost of the project is circa £30k (inc.VAT). 

     5.3 Irrigation Project

  • Received a quotation from Plantex UK of circa £25k (plus Vat) to provide an irrigation system all around the Ground that can pump 20m of water a day if needed. Looking to site a 4.5m tank behind the Scorebox.

      5.4 Clubhouse Refurbishment

  • TL will contact Ayo and Anna to discuss the refurbishments required to the Clubhouse. HN stated that the School caretaker might be willing to do painting or tiling etc. if needed. TL will also contact Aran (School Facilities Manager). 

      5.5 Paddle Tennis Project

  • A sub-committee met with Steve Riley (Padel Tennis Developer) to discuss the opportunity of having Padel Tennis sited on the derelict Tennis Courts at the Ground. 2 Padel courts will be built and all funding for the courts, lights, maintenance, planning, security, bookings etc. will be managed and financed by Steve Riley (Approx. £120k). At the end of the first year of trading an agreed yearly rental will be paid to OOASC (The Lease agreement will be for 15 years). Also included on the site to be developed will be a one lane Cricket net. Once up and running if the project fails, Steve Riley will uproot the Padel Courts and take it elsewhere at no cost to OOASC. 

  • At this meeting Committee members were asked to vote for approval for going ahead with the project, which was voted unanimously as a yes.

      5.6 Tennis Centre Presentation 

  • The Tennis Centre development was decided as not being viable by Committee members, especially as preference was for the Padel Tennis development. AW has informed the Tennis Centre developers that OOASC will not be going ahead with the development (Thanks to AW for his time and effort spent on this project). 

  1. OOASC Sports Clubs

       6.1    OOFC Football Section (IB)

  • PK reported that fixtures have been cancelled due to the weather. The 1St XI are mid-table in the League, the 2nd XI are in 2 cups and the 3rd XI are in a Cup final.

  • IB stated that all Owens teams will be leaving the SAL due to the amount of travelling that is involved. Looking to move to the Herts. League.

  • Football pitches closing date is Monday 16th April.

      6.2    OOCC Cricket Section (TL)

  • The Juniors section net sessions are at the School on Mondays (U12 @ 5.30pm & 12 plus @ 6.15 pm).

  • The first training session and registration for Juniors at Owens Ground will be Monday 24th There will be 3 teams U9, U12 & U14 playing during the season.

  • Nets for the Senior teams are on Tuesdays at Chancellors School at 8 pm.

  • First Cricket at the Ground is Sunday 23rd April.

      6.3    Affiliated Clubs 

  • Potters Bar United are going through many changes at the moment. Hope to appoint a representative from the Club on the Association Committee when the changes have been completed.

  • AH reported that no analysis of members’ subscriptions could be done as Richard/Tim are still awaiting authorisation for the Mandate Change on the Barclays Account to acquire the relevant bank statements needed for the analysis.

  • Sandyann Cannon requested if the Zoo Club bank account could be temporarily used to receive payments for the Harold Moore Luncheon (23rd February 2023) as the account was closed by Barclays without her knowing (The request was agreed). As a result the Zoo Club account has an additional £344 for payments for the Luncheon.

       The new Alumni Officer Emma was introduced to Committee members. AH to liaise
        with Emma regarding data held by the Association and Alumni (HN pointed out that we
        need to be aware of GDPR).       

       10.2 Harold Moore Luncheon

       The Harold Moore Luncheon is on Thursday 23rd February 2023 at 1.00 pm at La Petite
       Auberge, 12-13 Heddon Court Parade, Cockfosters Road, EN4 0DB. The organiser is
       Sandyann Cannon and the cost is £42 per person (Payments to be made to the OLD
       OWENS ZOO CLUB bank account). 

       10.3  David Bolton

       HN mentioned former Headmaster of DAOS, David Bolton who passed away on the 2nd
       January.
