OOASC Full Committee meeting 1st March 2021 – Minutes

Minutes of the Full Committee Meeting held on Monday 1st March 2021 at 8.00pm (online in Microsoft Teams).

  1. In attendance:

  2. Matters arising from previous minutes 14tr October 2020
  • Roof in entrance lobby has been fixed.
  • 4 lights now not working in the Car Park
  • Bungalow repairs to side room have been completed and look good.
  • The Sign at the entrance to the Ground has been put up (Possible contributions to the cost from Heineken & Potters Bar United).
  • MHSFA have paid their outstanding pitch hire rental.
  • The Woodyard & Chas Storer have paid their outstanding rent for the Car Park
  • TL has received his reimbursement for the Keith Freeman Pavilion Clock.   
  1. Bar and Catering (John/Ed/Lynn Clark)
  • JLC are looking at resuming outdoor services from 29th March at the Club with sitting on the patio being allowed from 12th April onwards ( JLC are looking at the possibility of getting heaters for outside either by renting or getting something permanent). From the 17th May customers will be allowed indoors and from the 21st June, JLC are looking to restart functions in the Clubhouse.
  • JLC are looking at the possibility of doing lunches when the Cricket season commences.
  • TL suggested that JLC investigate whether they are entitled to any grants that might be available for restarting the business (TL to send some info to JLC).
  1. Finance (Richard Hattrell)
  • Richard presented a Treasurer’s report together with a Profit and Loss and Balance Sheet accounts as at 31st July 2020 and 28th February 2021, a Forecast Profit and Loss and Balance Sheet account for year ending 31st July 2021 and a Forecast Cash Flow for year ending 31st July 2021.
  • The surplus for the year ending 31st July 2020 was £18,614 as a result of the Covid-19 grant of £25,000 received.
  • The balance at the Bank as at 28th February 2021 is £60,839.18 and the loss for the year to this date is £4,961.
  • Richard pointed out that rent for the year is significantly down due to the Club being closed since November 2020 but highlighted that Club costs are also down on previous years due to pitches being unused.
  • Richard advised that his Forecast on figures to the 31st July 2021 is one of uncertainty and is based on assumptions that sport at the Club will restart on 29th March, outdoor serving of alcohol and food from 12th April and full relaxation of lockdown rules from 21st He has also made the assumption that due to the lack of use of the pitches that the usual cost of works undertaken will be scaled back.
  • Richard was hopeful of getting some rent from pitch hire when Football restarts. IB advised that he will pursue payment of rent from Old Owens F.C. and Potters Bar United at 50% and the other Clubs that use the Pitches (i.e. Wingate Finchley, Northaw, Tansley & Elizabeth Allen will be charged at 33.3%.    
  • Richard stated that we should start receiving full rental payment from JLC from July 2021 onwards.

On the basis of all the above Richard has estimated a loss for the year of £18,934 and a balance at the bank of £44,908 at the 31st July 2021. The meeting thanked Richard for a comprehensive breakdown of the accounts at such a difficult time.

  1. The Ground (Tim Lane)
  • TL/IB reported that a lot of work has been done to the Ground during lockdown and is in great shape. Goalposts were taken down and nets were fixed for both Football & Cricket
  • AWa and his helpers cleared the ditch on the Woodside yard near pitch 3 and the overgrown areas in the Car park.
  • AWa reported that minimal work is presently needed probably only goalmouth & centre spot areas might need some seeding. He was concerned that when football restarts on the 29th March that pitches could be overused causing possible damage and more work required. Awa stated that the ground would be monitored when football restarts and any problem areas will be addressed and the relevant machinery provided (Any work required should not impact on the Cricket).
  • AWa asked if the Committee could budget for up to £8,000 for spring & autumn renovations that might be required.
  • TL stated that we received a £3,000 grant last year for renovations to the ground so will check if there is anything for this year.
  • Rabbit monitoring is still taking place and IB has suggested keeping an eye on Moles as well.
  • IB stated that the thermostat was replaced to rectify the boiling hot water in the changing room but the water was still coming out very hot.
  • TL received a quote for Patio works, Picket fence and UPVC facia for the Clubhouse. The quote was around £10,000 but this has been put on hold for the time being due to the situation with Covid.

The meeting thanked Awa for his work and support on the Ground and thanks to Ed Clark as well.

  1. OOASC Membership (Alan Hunter)
  • £2,217 has so far been collected for membership subscriptions as at 12th Feb 2021, from 22 Associate & 119 Full members. Nothing has been received as yet from the Football Club (this is an issue due to the season being curtailed by Covid. Last year we received payments from 82 players). There are a total of 18 Honorary & 201 Life members and 14 lapsed members to this period, consisting mainly of retirees.
  1. ZOO Club (Alan Hunter)
  • Zoo Club balance as at 1st March 2021 is £552.85.
  • The 1st prize of £75 won at the last draw in October has been donated back to the Zoo Club for later use by Gavin Flook.
  • No prize draw was held at the meeting.
  1. Old Owens Website (Alan Hunter)
  • AH has been updating the website as and when necessary.
  • AH provided statistics for the website as at 27/02/2021 as follows:

          Last 7 days there were 430 visitors with 1,745 visits

          Last 30 days there were 2,234 visitors with 13,592 visits

          Last 365 days there were 52,939 visitors with 259,763 visits.

      (AH stated that visitors and visits were lower than previous stats due to the Club not being open).

  • The Association paid £400 to an image rights company for two pictures in 2 old editions of the Old Owenians newsletters that appeared on our website. The School agreed to reimburse us for the payment made.
  1. OOASC Sports Clubs

    10.1    OOFC Football Section (Ian Breeze)

  • IB reported that OOFC are in limbo. Although Football has been given the go ahead by the government from 29th March there is uncertainty with what the SAL plans to do with regard to the matches to be completed.
  • IB to check the situation with regard to players’ payment of Association subs for the season.

    10.2    OOCC Cricket Section (Tim Lane)

  • TL reported that we are waiting on guidelines from the ECB for commencing Cricket.
  • TL expects full rental from 24th April to the 5th September 2021 as both pitches are rented fully on Saturday and Sunday during this period. There are also 5 Herts Over 60’s matches booked and are looking at playing some junior fixtures at home in the league.

    10.3    Affiliated Clubs (Phil Riley)

  • PR reported that Potters Bar United will be looking to play matches for a couple of weeks at the Ground.
  1. Old Owenians Alumni (Anna Welsford)
  • Anna outlined her task of setting up an Old Owenians Alumni website platform that will be run as a separate entity but the School will be the beneficiary. The platform will be able to run events for the Alumni (e.g. fundraising/engagement events, Sporting events, Tournaments, Cricket, Football, Golf etc.) and will have Social Media interaction and Blogs. The website will have a database of members and have the facility for a Shop selling merchandise. Anna is keen to incorporate the needs of the Association by its ‘inclusion on the  new platform. Anna is currently setting up a Board and is recruiting members. She stated that anyone from the Association is welcomed to join. Anna has a deadline for the end of May 2021 to complete the process.
    Anna stated that an ‘Owen’s Alumni Members Club Launch Event’ has been scheduled for 13th November 2021.
  • There were several concerns from Committee members arising from Anna’s presentation, so TL suggested trying to arrange a meeting between relevant members of the school via Hannah Nemko and some Committee members to discuss the issues (Anna & TL to arrange).

     12.1    Potters Bar United partnership proposal (Phil Riley)

  • PR reported that the Potters Bar United chairman Nasco Atanas has submitted a proposal to the Committee of a partnership between Old Owens and Potters Bar United with regard to teams and the Ground. It was suggested a separate meeting on ZOOM be scheduled on the 15th March at 8 pm for Nasco to put forward his proposal to the Committee.

OOASC Full Committee meeting 14th October 2020 – Minutes

Old Owens Association and Sports Club Limited

Minutes of the Full Committee Meeting on Wednesday 14th October 2020 at 7.30pm  in the Main Hall at Old Owen’s Sports Ground.

    –  (TL chaired the meeting with IB appointed to take the minutes. Before the meeting commenced a 1 minute silence was observed in remembrance of former Chairman & Committee member Alan Davison who passed away on the 8th October 2020).

  2. Matters arising from previous minutes 26th August 2020
  1. Bar and Catering (John/Lynn Clark)
  • Managers update – Figures presented are approx. 50% down. Double staffing for table service has increased costs. Zero bookings at the moment (cannot take any functions above 6 people.)
  • Football is of great help at the moment and players are behaving quite well after matches.
  • Roof in entrance lobby is leaking (IB to ask Alan West to investigate).
  • 3 x lights are not working in the Car Park (JLC to borrow scissor jack lift from wood yard to replace the lights).
  • John announced that he and Lynn would be working towards giving Edward more of a role in JLC Owens with a view to him taking over on completing their contract in July 2022.
  • Bungalow repairs to side room – watertight only and no electrics (PR to contact his electrician by the end of October to see if the repairs can be done).
  • Quotes for Signs to be sorted by TL and JLC. (Possibility of Heineken Brewery or PBU contributing?).
  • TL enquired with JLC the possibility of increasing their rent payment up to 50% in the foreseeable future from the 33.3% currently being paid.
  1. Finance (Richard Hattrell)
  • RH presented a Forecast Profit and Loss, Cash Flow, Assumptions and Balance Sheet figures for year ending 31st July 2021 ( much will be dependent on all rent being received and football continuing).
  • Balance at HSBC presently stands at £64k.
  • Tansley F.C. has paid their outstanding rent owing for last season but MHSFA still owe money.
  • Annual Rentals for Car Parking (Wood yard & Chas Storer) – (IB to check previous donations with Nicky Culhane in Accounts and send out invoices).
  • TL advised that he has spoken to JLC with regard to the Association sharing monies received from Dog Training. The Association is seeking to receive £80 per month which will be paid with JLC rent.
  • TL advised RH that he will be seeking reimbursement of monies paid out for the K. Freeman plaque for the Pavilion Clock (approx.. £85).
  1. The Ground (Tim Lane)
  • Ground is up to speed. Cricket renovations all complete. Probably needs fertiliser (hit and aeration).
  • Clearance of overgrown areas in Car Park is needed (IB to ask Andrew Ward to ask AT Bones for a special price).
  • Emergency ambulance access blocked on Saturdays & Sundays by various people including people watching PBUFC.
  • Dogs have been fouling the playing fields. Members’ dogs only to be allowed in the Clubhouse but not at side of pitches. PBUFC visitors to be informed that no dogs are allowed.
  • Rabbit control – TL tried to contact Mark Morris (Commercial Pest Control) to no avail. Problem doesn’t seem to be as bad as it was so situation is to be monitored.
  • The Keith Freeman plaque has been fitted underneath the Pavilion Clock and everything is now complete.
  1. OOASC Membership (Alan Hunter)
  • £2,066 has been collected for membership subscriptions since 1/8/2020 (start of new membership year). There has been 3 new members and 9 lapsed members (AH to check out).
  • TL, AH & AW to meet to discuss ways of incorporating the School Alumni and Association membership to benefit both parties.  
  1. ZOO Club (Alan Hunter)
  • The balance as at 12th October 2020 is £436.
  • 1st prize of £75 won by Gavin Flook at the previous draw was donated by him to the Cricket Club for their end of season festivities on the 12th September 2020.
  • A draw was made at the meeting aided by AW and the £75 first prize was won by Gavin Flook (again).
  1. Old Owens Website (Alan Hunter)
  • The website is updated on a regular basis (News about Alan Davison has been added).
  • AH provided statistics for the website as follows:

          Last 7 days there were 1, 689 visitors with 9,715 visits

          Last 30 days there were 5,897 visitors with 28,754 visits

          Last 365 days there were 55,182 visitors with 217,240 visits.

  • AH received an email from PicRghts regarding an Alumni image showing on our website that was copied from the School website to cross reference the Old Owenians newsletters. PicRights are saying that we do not have a licence to show this image and that we might have to pay some compensation for doing so. I have replied back to PicRights pleading ignorance with an apology and forwarded the email to AW to check out to see if there is a problem. The image has been deleted from our website.
  1. OOASC Sports Clubs

     10.1    OOFC Football Section (Paul Kennedy)

      IB & PK (reported in his absence) as follows:

  • OOFC Football Section running 5 x teams including Vets.
  • 1’s and 3’a have made decent starts to the season with the 1’s undefeated after 3 games and the 3’s currently sitting second in their league. 2’s, 4’s and Vets have had mixed starts.
  • Massive thanks to Phil Riley, John & Lynn for use of the marquees outside which have been used for some changing areas.
  • We hosted the AFA Senior Final last Saturday between Nottsborough and Norseman and the Vets Cup Final the previous week. Both days were a great success. Thanks to Ed Clark for his hard work in getting the ground ready and also to John/Lynn and all their staff for their continued hard work under the current circumstances (i.e. limited seating, table service etc.)

     10.2    OOCC Cricket Section (Tim Lane)

  • TL reported that the season is now finished and was very successful. The 1’s and 3’s won their leagues (shame there is no promotion this season) and the 2’s finished 3rd in their league. Thanks to Ed Clark for all his hard work in preparing and maintaining the Ground during the season.
  • With regard to winter nets the 1st XI will be netting at Haileybury and the 2’s & 3’s at Hatfield (no dates have been set as yet). The Junior section will be netting at the end of January possibly at Lochinver School. The current stipulation is that only 6 people can net in a group.

     10.3    Affiliated Clubs (Phil Riley)

  • PR reported that Potters Bar United are experiencing big changes to their Committee and everything is being rewritten. Major handovers will be performed once positions have been decided.
  • PR stated that PBU are enquiring about the signs at the front entrance as they are offering to make a contribution to costs.

  • Shaun Flook has resigned from the Committee.
  • Anna Welsford was keen to join the Committee and was proposed and seconded by KR.
  • Condolences from the Association (re: Alan Davison) to be sent by AW to the condolences email address at the School.
  • PR reported that the Showers in the changing rooms are boiling (IB to contact plumber).

OOASC Full Committee meeting 26th August 2020 – Minutes

Old Owens Association and Sports Club Limited

Minutes of the Full Committee Meeting on Wednesday 26th August 2020 at 7.30pm  in the Main Hall at Old Owen’s Sports Ground.

  1. In attendance: I.Breeze(IB), Richard Hattrell(RH), A.Hunter(AH), P.Kennedy(PK), T.Lane(TL), P.Riley(PR), K.Rowswell(KR), John and Lynn Clark (JLC)
    (TL chaired the meeting with IB appointed to take the minutes).

  2. Matters arising from previous minutes 20th July 2020 
  • JLC signed the new Contract dated July 2019 for 3 years with a 5% year on year increase. The contract was countersigned by TL. Covid-19 has affected the contract for the time being as payments received from JLC currently stand at 33.3%, which was agreed at a previous meeting.
  1. Bar and Catering (John/Lynn Clark) 
  • Managers update – Covid-19 has affected bookings. Many Customers have been asking about bookings but JLC have explained that it is a restricted ‘no go area’ at the moment. JLC had a Funeral wake last week with a maximum of 30 people attending. The return of Cricket and Football activities are keeping things going along with the selling of Thai Food on several evenings, which is helping them to get by at the moment.
  • Trading accounts (Monthly Sales) – None presented.
  • Forthcoming events – No bookings have been made due to Covid-19.
  • Bungalow repairs – JLC to contact electrician for a quotation. 
  1. Finance (Richard Hattrell) 
  • RH presented the Accounts and stated that the accounts processed at the School (Nicky Culhane) would be better and easier if it was posted on SAGE.
  • Bank balance is £58.1k plus approx. £2k in the Barclays account. The surplus for the year ending 31st July 2020 is approx. 15k (includes the Covid-19 grant of 25k received).
  • RH advised that the outstanding rent for Feb/March 2020 has been paid by JLC with a shortfall of £500 to be paid. Tansley & MHSFA still owe pitch hire rent (IB to chase).
  • RH liaised with David Wainman of Brown & Shipley who confirmed the valuation of the Investment Bond at 31st July 2020 is £174k an increase of £1.3k on the value at 31st July 2019. The original investment was £170k and we have taken money out for refurbishing toilets etc. Richard also pointed out that we will be paying fewer fees now as our knowledge of the workings of the Fund has grown.
  • Statutory Accounts has been signed off by our auditors Baxter & Co. (Copies held by RH & TL).
  • RH will try and do an assessment on Finance to see where we will stand at the end of 31st July 2021.
  1. The Ground (Tim Lane) 
  • Ground is green & lush at the moment. Ed Clark has done a great job in preparing the squares for Cricket which is nearing the end. The usual end of season repairs to the ground will be approx. £2.5k.
  • Rabbit control – TL to contact Mark Morris (Commercial Pest Control) with regard to a 6 month trial. Cost quoted was £100 per month.
  • Changeover from Cricket to Football should be available on the 13th Ed Clark to be consulted.
  • PK to organise legionnaire’s check and to run all showers.
  • Wood Fire claim – To be paid £2,200 from Windsor Insurance, plus Shed £650 plus Tarmac. TL pointed out that we might be able to claim for the wood that we lost if we could get a quote for 2 tons of logs. RH has not seen any payment from the Insurers as yet (TL to chase).
  • Club signage – JLC to get a quote to supply/fit entrance sign as per our exact requirements.
  • Pavilion Clock – Clock now in place (Thanks to TL for fitting) and the Freeman family have paid £400 towards the cost. Awaiting the plaque (approx. £85) which is currently being processed.
  1. OOASC Membership (Alan Hunter)
  • £4,575 collected for subscriptions for the membership year ending 31st July 2020, from 45 Associate & 134 Full members (both include Cricket members) and 82 from the Football Club. There are 19 Honorary & 201 Life members giving a total of 481 members. There have been 14 lapsed members during the year mainly from previously retired members. 
  1. ZOO Club (Alan Hunter)
  • Eamonn Dempsey was sent a cheque for £49 to clear the outstanding amount held in the account for the Pavilion Windows (Eamonn is still owed £1,711 for the windows project).
  • The balance as at 24th August 2020 is £420.
  • A prize draw was held with the 1st prize of £75 won by Gavin Flook and 2nd prize of £25 won by John Cardall. 
  1. Old Owens Website (Alan Hunter)
  • AH is updating the website on a regular basis.
  • AH provided statistics for the website as follows:

          Last 7 days there were 1,246 visitors with 4,629 visits
          Last 30 days there were 5,217 visitors with 20,180 visits
          Last 365 days there were 50,658 visitors with 191,620 visits.

  1. OOASC Sports Clubs

   10.1    OOFC Football Section (Paul Kennedy)

  • Adult Football at Old Owens will commence on 19th September 2020 with restrictions on changing rooms and after match activities (A plan will be put in place before the start). There will be 4 Saturday teams and a Sunday Vets team and there will be staggered kick-off times. Pre-season friendlies are already in progress.
  • A match has been scheduled at Old Owens on 3rd October for a Cup Final between Norsemen and the winners of Polytechnic and Nottsborough.

   10.2    OOCC Cricket Section (Tim Lane) 

  • TL reported the season has been going well with all the teams and availability has been very good although a few games have been lost due to the weather. TL stated that new players have joined which bodes well for next season if all remain.

   10.3    Affiliated Clubs (Phil Riley) 

  • PR reported that Potters Bar United were having their AGM tomorrow evening and that some of the ‘Old Guard’ in charge are stepping down and new people are getting involved. Lots of kids want to play for PBU but at the moment there are not enough coaches available.

  • The Privacy Policy agreed at the previous meeting has been added to the website on the ‘About Us’ page.

Old Owen’s Association & Sports Club Limited

Minutes of Full Committee Meeting held Monday 20th July 2020 at 7.30pm in the Main Hall at Old Owen’s Sports Ground.

  2. Matters arising from previous minutes 19th February 2020
  • JLC is still required to sign the new Contract. Lynn stated that some areas of the contract require amendments before signing.
  • Warning signs in the Car Park have been completed and the height barrier has been repaired
  • IB has now been made a signatory on the HSBC account.

  • Managers update – Clearly with the Covid-19 situation, takings have been significantly down. John and Lynn would like to recommence paying rental at 33.3% of their current amount for the time being. The facilities and bar is now open to members with limited numbers allowed inside with table service and members allowed outside. Recreational Cricket has just restarted which will help with takings and recreational football is due to restart in September 2020.
  • Trading accounts (Monthly Sales) – None produced.
    JLC have just recommenced trading in the last 2 weeks.
  • Forthcoming events – No bookings have been made as yet due to the effects of Covid-19.
  • Bungalow Roof repairs – Roof is now fixed but electrics and plaster boarding needs to be completed
  • The exterior lights on the Clubhouse have been fixed.
  1. Finance (Richard Hattrell) 
  • Balance at bank presently stands at £58.5k. Balance sheet looks artificially healthy at the moment due to the Covid-19 grant of £25k received from the government. In actual fact when considering the period from 23rd March 2020 to 09 July 2020 we are £11k down on rental income. An anticipated reduced income from Cricket will be around £4k.
  • OOASC Confirmation Statement – All directors have re-accepted apart from Alan Davison (resigned) and William Hamilton-Hinds (No contact).
  • Profit/Loss and Balance Sheet – RH produced figures in detail for the period 1st August 2019 to 12 July 2020 showing a Net Profit of £29,507.29.
  • The Investment Bond was approx £153k as at 31st July 2019. RH has a review meeting next week with David Wainman and will confirm the Bonds valuation.
  • Tansley & Mid-Herts still owe rental for Football pitch hire (IB to chase).
  1. The Ground (Tim Lane) 
  • Very pleased with the ground condition for Cricket and received compliments from opponents Bishop Stortford at last Saturdays Cricket game verses Owens 1st XI . TL highlighted the work put in by Ed Clark (Grounsdman). The Football club have requested some training on Tuesday evenings and will be instructed to keep off cricket areas.
  • AW is now being paid by Standing Order for his work on the ground.
  • Rabbit control – Meeting agreed £90 pm to be paid to control these pests.
  • Fire claim wood pile – Oaklands Landscaping have been organised to clear asap. Insurance claim is currently being processed with an excess of £250 to be paid.
  • Club signage – TL showed the meeting a proposed image for the ground entrance sign. KR/TL co-ordinating the Art work required (Note: gold doesn’t show very well on a maroon background.) PR advised that Potters Bar United wlll be happy to contribute to the cost.
  • Pavilion Clock – Now fixed at a cost of £650 but the Freeman family have agreed to pay £400 towards the cost in memory of Keith Freeman, with a plaque under the clock to celebrate his memory.
  • A request was made to OOFC to extend OOCC season to include the 12thSept 2020. It was agreed that Football will commence on Saturday, 19th September 2020. All Clubs using the ground have been informed by IB.
  1. OOASC Membership (Alan Hunter)
  • £4,047 has so far been collected for this year in subscriptions (including £1,600 from OOFC.). The financial year ends on the 31st July 2020. AH is awaiting Bank Statements from March 2020 onwards from Nicki Culhane to check for further subscription payments.
  • AH has sent a list of names from the OOASC membership file (i.e. Full, Honorary & Life members) to Anna Welsford (DAOS Alumni Manager) to do a comparison on Alumni records to determine if OOASC members are deceased. Anna will have a look when School returns in September 2020.
  1. ZOO Club (Alan Hunter)
  • At 2nd July 2020 there was a kitty of £452 (including £49 owed to Eamonn Dempsey for the Pavilion Windows). Meeting agreed AH should make payment of £49 to Eamonn Dempsey to clear the debt.
  • Previous draw 2nd place winner Gavin Flook donated his £25 winnings back to the Zoo Club.
  • No prize draw until the end of August.
  1. Old Owens Website (Alan Hunter)
  • AH has made significant changes to the website with new images and updated pages.
  • AH provided statistics for the website as follows:

      Last 7 days there were 882 visitors with 5,033 visits

      Last 30 days there were 3,659 visitors with 26,242 visits

      Last 365 days there were 47,545 visitors with 179,765 visits.

  • The statistics show a continuous increase on hits to previous figures and indicates an upward trend.
  1. OOASC Sports Clubs

     10.1    OOFC Football Section (Paul Kennedy)

  • Recreational adult Football will be allowed from September 2020 with restrictions such as limited changing rooms. The post match refreshments might pose problems and OOFC would need guidance on this from the AFA.

    10.2    OOCC Cricket Section (Tim Lane) 

  • Saracens League Cricket has now recommenced with matches as friendlies (No relegation or promotion will take place in this short 9 week season). Team availability is excellent and all 3 sides won last weekend.

    10.3    Affiliated Clubs (Phil Riley) 

  • Potters Bar United (PBU) are keen to start training, but realise that the ground is predominantly used for Cricket at this time. Home PBU games can commence on 19/09/20.
  1. Privacy Policy (Alan Hunter) 
  • The draft Privacy Policy was accepted at the meeting and AH will add it to the website.
  • The Privacy Policy requires an appointment of a Data Protection Compliance Officer for GDPR monitoring & compliance – The meeting agreed that it would make sense for AH to carry out this role.

     12.1    Impact of Covid -19. 

  • RH stated that the Financial effects would be ongoing and that the rental situation with JLC should be under constant review. He also pointed out that we should be ready to react quickly to any government directives. 

    12.2     Easyfundraising 

  • The meeting agreed this is a great idea (Essentially free money). AH to investigate the process for setting up easyfundraising for OOASC.

Minutes of Full Committee Meeting on Wednesday 19/02/20 at 7.30pm (Ground)

 

  1. In attendance: I.Breeze(IB), S.Flook(SF), Richard.Hattrell(RH), A.Hunter(AH), P.Kennedy(PK), T.Lane(TL).
    (The meeting welcomed the attendance of Mrs  Anna Welsford, the Alumni Officer at DAOS).
  1. Apologies: Robert Hattrell, PhilRiley, K.Rowswell, V.Tanner, A.Ward, D.Webb, John and Lynn Clarke.
  1. Matters arising from previous minutes:
  • John and Lynn still required to sign the new Contract.
  • Still need to put up warning/responsibility signs in car park (re: thefts from cars). 
  1. Bar, Catering & AOB:

    Written report from John and Lynne Clark in absentia.

  • Bar and Food figures produced for 2019 showed an increase of 2% on 2018.
  • Bar and Food figures for January 2020 showed an increase of 11 % on January 2019.
  • February so far has been a tough month with lots of football matches called off due to storms and rain.
  • Elvis Night (6th March) and Quiz Night (20th March) have been arranged. These have always proved popular.
  • John and Lynn raised the poor condition of the timber extension to the bungalow (damp and mould). IB has arranged for a builder to advise on the costs of either repair or complete dismantling.
  • The electrics in the wooden extension have been made safe by GT Electrics, who are also looking at the power supply to the light at the gateway area. (It was also pointed out that a new gateway notice is needed as the present one is a poor reflection on the Association).
  • There are also five exterior lights on the Clubhouse not working that GT Electrics may be able to assist with.
  1. Finance:
  • No accounts were available to the meeting due to DAOS half-term.
  • RH to contact Mrs Nicki Culhane at DAOS to provide exact figures and circulate.
  • HSBC are making slow progress with arranging for IB to be another signatory on the account (TL to pursue).
  • Also we are still attempting to pay Andrew Ward (Grounds Contractor) monthly via direct debit and this should imminently be active.
  • The Association continues to owe E. Dempsey £1,760 for the Pavilion windows refurbishment.
  1. The Ground:
  • IB reported that the ground itself has been suffering from the wet weather and a couple of football weekends in February have been completely washed out.
  • The mixer unit on the showers has been serviced and an electric shower in the Officials room replaced at a total cost of £300.
  • The catch nets and three of the 6m poles on pitch 1 have snapped and been replaced at a cost of £1,100.
  • A BT Open Reach van backed into the height barrier and we are seeking two quotes from Essendon Forge and Cosmur Ltd to send to the van insurers.
  1. OOASC Membership:
  • Since 01/08/19, £2,400 has been collected for annual memberships. There will be more subscriptions to come before the year end 31/08/20 especially from the Sports Clubs (e.g. OOFC approx. £1,500).
  • There were 13 lapsed members (mainly retirees). AH to try and check, if possible.
  • AH to liaise with Anna to cross reference the OOASC database (names only) for Old Owenians members (i.e. Full & Life) with the Alumni database to try and determine if OOASC members are deceased.
  1. ZOO Club:
  • Balance as at 20/02/2020 is £389.
  • AH handed out Membership Forms to join the Zoo Club (annual membership is £24).
  • The draw was made (aided by Anna) and the two winners were as follows;

  1. Old Owens Website: 
  • AH stated that the website is running without any problems, is up to date with the relevant information and will be revamped with new images. The privacy settings/cookies policy is to be updated on the website.
  • Statistics for the website as at 20/02/2020 are as follows:

     Last 7 days there were 2,213 visitors with 4,928 visits

           Last 30 days there were 6,624 visitors with 17,516 visits

           Last 365 days there were 39,086 visitors with 150,650 visits.

  1. Privacy policy:
  • AH has been looking at the draft privacy policy documentation provided by Alan Davison. AH advised that the OOASC does not require a Data Protection Officer, but we do need a Data Protection Compliance Manager (volunteer needed), to be compliant with GDPR regulations. AH to send the revised documentation for checking to RH, TL and SF.
  1. OOASC Sports Clubs: 
  • Football section report:

          PK reported that we are running 4 x Saturday teams and 1 x 
          veterans Sunday team and stated the season has been a tough
          one for the teams as a whole. The last football weekend is
          18/19April 2020.

          IB is supporting Ben Rowswell with setting up a junior girls
          Wildcats” section of the Football Club.

  • Cricket section report:

         Well attended winter nets have now commenced at Herts
         University, Hatfield (2nd/3rd XI) and Haileybury School (1st XI). The
         Junior section is netting at Lochinver House School on Monday
         evenings and intend to organize league teams at under 9,11,12’s for
         season 2020. 

         The adult Cricket season commences with friendlies on the 25th
         April (1st XI) and the 2nd May (2nd/3rd XI) with league games starting
         on the 9th May and ending on the 5th September.

         TL advised that Saturday cricket bookings for the ground are 
         completely full (i.e. Old Owens & Finchley 3’s) but is awaiting
         confirmation bookings from Sunday teams. 

  • Affiliated Clubs report:

          Phil Riley in absentia stated that there is nothing significant to
          report with regard to Potters Bar United F.C.

  1. AOB:
  • Charity Commission DBS requirements – Richard H has been in touch with the Commission with regard to their request for DBS checks for the Association (i.e. trustees, committee members, volunteers, staff).  RH is awaiting a reply from the Commission and will advise the Committee when received.
  • Alumni Links – Anna Welsford explained her role at the School and emphasized the importance of forging links with the OOASC and the work she is doing with DAOS past pupils. Anna is keen to incentivise the use of OOASC facilities and to build a relationship and is also looking forward to organising various events, the first of which will be the DAOS Alumni ‘Grand Launch Event’ at the School on the 25th April from 7 pm – 1 am.

         AH advised Anna that the Launch event has been included on the 
         Association website and notices for the event have been sent to Old
         Owenian members from the Association database.
