Matters arising from previous minutes:
TL approached both Rick Martin and Sharon Martin with regard to coming onto the Committee as Ground Manager and Safeguard Manager respectively. Both were keen to join the Committee when Rick who is currently unwell is fit to do so.

The Defibrillator has been purchased and IB will liaise with JC as to where best to site it for general use.

The new Groundsman Chris Langley started in Mid-December, is contracted to do 25 hours a week and is on probation until the end of the Cricket Season. IB to monitor if football pitches are being laid out and marked correctly for the weekend matches and will keep an eye on progress. Rick Martin has agreed to be Ground Manager but is currently unavailable due to illness. IB reported that all the football goal nets near the goalposts have been cut. A Clubhouse camera has been redirected to see if we can catch any culprits if the issue reoccurs.

Bar and Catering update – John and Lynn Clark:
JC produced Bar and Food figures and both him and LC stated that bookings in general were down especially on Fridays and some Saturdays. Figures for January were 20% up on January of last year figures due to some extra functions and a few wakes.

Catering sales for the whole year was down but JC was hopefully that sales would pick up in the summer months.

LC stated that there are 2 events currently booked in March i.e. Elvis Night on Fri 9th March and a Quiz Night on Fri 23rd March. AH to include on the website.

VT asked JC & LC if the School could hold this years ‘Snow Ball’ for year 10 at the Club. JC confirmed that this would not be taking place at the Club. Hannah Nemko to be informed.

JC reported that the Disabled toilet has a leak and a possible blockage. Joe Orchard (maintenance) is to have a look and let us know what the problem is. TL asked JC if Joe Orchard has produced a manual as previously requested to explain how everything works but JC confirmed that this hasn’t been done as yet.

LC enquired about the bills sent to Nicki Culhane (School Accounts Office) in November with regard to payment that JC & LC have already made for the Cooker, Hood and Shower repairs in the Bungalow. LC was hoping for some recompense from the Association.

TL reported that the repair to the lamppost in the Car Park is due on Wednesday 7th February.

Finance:
Money in the Bond has increased from £173,212 to £180,000 in a year (up 4%).

As at 5th February the balance in the HSBC account is £60,330.

No balance shown from the Barclays account. TL to check with Nicki Culhane to see if money is being transferred from the Barclays account to the HSBC account.

TL stated that Spring Renovations for the ground will be in the region of £15,000 and ‘aged debtors” currently owe £14,463.

Pavilion Windows update:
In the absence of Eamonn Dempsey, AH read out the report received from him. Eamonn stated that since the project started just before Christmas that £1,600 has been collected in the Zoo Club account. The best quote for refurbishment of the windows was £9,600. Eamonn pointed out that the money received did not include an appeal to the whole OOASC membership. Eamonn is asking for approval and permission to send out an appeal notice that he has already prepared either by email and/or mail to the OOASC membership. The Committee agreed with the proposal but IB asked if members of the Committee could see the appeal notice from Eamonn before it is sent out. AH will obtain the notice from Eamonn and distribute to the Committee for approval before being sent out. Once approved AH will liaise with Eamonn with regard to informing the membership and AH will also liaise with the School to see if the Alumni can also be notified.

Membership update:
AH paid in a total £491.50 (Cash & Cheques) last week to the HSBC account for outstanding Associate members and 3 new Full members. This amount included £154 paid by JC for outstanding Associate members.

AH stated that £2,923.50 has been collected for 2017-18 from 187 paying members so far with more monies due from members until the 31st July 2018. AH is chasing 9 lapsed policies, 6 of which are retired members paying £7.50. Some of these members do not have any contact details, so it will be impossible to chase these members to see if they are still around.

TL has asked if a detailed report of all members could be produced for the next Committee meeting which AH agreed will be done.

ZOO Club:
AH stated that the amount in the Zoo Club account is £650.

AH made a draw assisted by Andrew Ward. The winner of the £50 prize was Mr Dave Greenshields.
