OOASC Full Committee meeting 3rd August 2026 – Minutes

Minutes of the Full Committee Meeting held on Monday 3^rd August 2026
at 7.30 pm in the Main Hall at Old Owen’s Sports Ground.

1. Apologies: A.Battersby,Rob Hattrell,H.Nemko,D.Webb

2. Manager (Sian Clampitt)

• Sian reported that July was a good month. Some of the beers have been changed and Food is going well (Kev the Chef will be introducing some new items on the menu). Sian will be looking at the food menu to be offered during the winter months and stated that Louis has put forward a proposal for providing food on Sundays.

• Events have been booked for August i.e. F.A. Community Shield Final (Sunday 16^th), Premier League Match (Friday 21^st), Derby Day BBQ (Saturday 22^nd) and Vicars & Tarts (Sunday 30^th). Sian will liaise with the School about events and will contact the Rotary Group to see if they would like to come back.
• Sian has acquired a new Card Machine and will check the situation with the rubbish bins. She also pointed out that the Hessian mats in the Clubhouse might need replacing due to the smell.  
• Sian is approaching one year as the Manager and an end of year review will be required. The turnover during this period has been good and is £37k up on previous JLC figures. Can increase figures by more food output.

3.   Matters arising from previous minutes 1^st June 2026 

• None      

4. Finance (RH)     

• As at 30^th June 2026 the total balance in the bank for HSBC & Barclays was £74k, 10.6k in the Owenians Alumni account, 1.9k deficit in OOASC Bar and Catering Limited, £177.9k in the Bond and there was a surplus of income over expenditure of £16.9k.

• A lot of expenses have been paid out that included money for the Water Treatment Plant repair.

• Monies for hiring the Football pitch are still owed by Elizabeth Allen, Tansley and Wingate (IB to check and chase).
• Directors (trustees) OOASC ID check for Companies House is required to be completed. Bill Hamilton Hinds to be informed that he will no longer be a Director.

• Directors OOASC Bar and Catering ID check for Companies House has been completed.

5. The Ground

      5.1 Ground (AW)     

• AW reported that a new water pump system has been installed that is currently being used on the cricket square. Looking to add an irrigation system for the Ground (circa 6k and a possibility that a grant can be obtained).

• Ground work needs to be done between the changeover from cricket to football. AW stated that if there is no rain football at the ground will have to be delayed.

• AW is looking at using a new fertiliser for the football pitches and could trial it on pitch 1 to start with.
• Pitch 1 has an oak tree that will need investigation in the near future.
• Equipment at the Ground needs reviewing.
• The meeting thanked AW, TL, PK and IB for their work undertaken on the ground during these trying times with the weather.   

      5.2 Padel Tennis Expansion (TL)     

• TL stated that the owners of the current Padel Courts (i.e. Atmos) would like to add another 2 doubles court to adjoin the current courts which will have an impact on football pitch 4. IB stated that pitch 4 could still be hired out as a small pitch after completion of the project. TL suggested that a new lease should be taken out for the additional courts to run alongside the lease for the existing courts. Earliest completion for the new courts would be in 2027. A sub-committee of TL, AW and RH was formed at the meeting to arrange to meet with Atmos to discuss their proposal.
• Sian reported that the padel courts are open till midnight and there has been some anti-social behaviour as a result which needs to be looked at (TL to enquire). Sian also suggested that an outside toilet would be useful.

      5.3 Roller Upgrade (TL)

     TL reported that the current roller is difficult to handle especially when hot.

• The options are:
  New Roller circa £7.5k + VAT (Chinese)
  Seconhand Roller circa £8k
  Power Kit (hydraulic steering circa 8k-11k) – An order will have to be placed in the next 2 months to be in use for next season

• AW will investigate the condition of the current roller in September by taking off the kingpin.

      5.4 Patio revamp (TL)

• The wooden shed will not last much longer. The BBQ area needs to be reviewed with the possibility of moving it nearer to the Bungalow. 

      5.5 Trees (PK)

• The trees on pitch 1 near the bungalow and pitches 3 and 4 need revie There is an allocated budget of £2k for the works. PK to contact Joshua Trees to obtain quotes. 

      5.6 Dog Walkers (PK)

• PK has encountered dog faeces when working on the perimeter of the Ground and has suggested that signs and bins are put up around the ground for dog walkers.

• Signs should also be put up that any dogs in the Clubhouse should be on a lead.
• There has also been an issue with kids riding their bikes at the Ground or walking across the cricket squares (MO to advise PBU of this fact). Maybe signs can also be erected for this.

6. OOASC Sports Clubs

       6.1 OOFC Football Section (IB/PK)

• PK stated that there are only 3 Owens teams this season. The 1^st & 2^nd XI’s have started playing away from home with home games at the Ground scheduled to start on 13^th September. The teams have acquired some new players from the School.
• The fencing works behind pitch 1 will need to be completed for the start of the home games.

       6.2 OOCC Cricket Section (TL)

• The Junior teams have had a good season and are now finished until the start of winter nets. There was a first girls match (U11) v Hertford on the morning of the Presidents day which they won.

• The 1^st , 2^nd and 3^rd are struggling in their respective leagues due to a lack of player availability which has impacted on the 4^th XI who have managed to play only one match so far this season.
• Matches against The School and MCC and a Presidents Day match took place in July.
• The Cricket Club has been approached by an Indian team (KP Raisers C.C.) with regard to amalgamating with Old Owens to play on Sundays in friendly matches. Discussions between the two parties will take place.

      6.3 Affiliated Clubs (MO 

• MO reported that the PBU are currently in the close season but are looking to start new U7 & U8 teams. They are also looking at playing 3-aside games.
• MO was made aware that the Padel Court expansion would reduce the size of pitch 4 and stated that the pitch could be used for 7-a-side matches.

7. OOASC Membership (AH)

   7.1 Membership Subscriptions (AH)

Note: Total Members Paid for 31^st July 2025 was 282 and payments received was £5,316.00 

8. Old Owens Website (AH)

• The updated website is running smoothly with no issues.

            The statistics for the website as at 03/08/2026 are as follows:

            Last 7 days there were          2.6k  visitors  with        3.2k visits
            Last 30 days there were      10.4k  visitors  with      14.8k visits
            Last 90 days there were      68.3k  visitors  with    105.7k visits

9. ZOO Club (AH)
   

• The balance in the account as at 03/08/2026 is £917.85.

       A draw was made at the meeting by SC.

       The winner is: IAN BREEZE £50 (Ball No. 5)
