OOA Full Meeting 3rd November 2015 Minutes

Minutes of the Full Committee Meeting of the Old Owens Association and Sports Club Limited held on Tuesday 3rd November 2015.

Present – Derek Webb, Alan Davison, Alan Hunter, Dave Connatty, Ian Breeze, Ken Rowswell, Linda Linwood.

1. Appointment of a secretary due to Eammon’s resignation.
   Linda took minutes for this meeting only.
2. Apologies for Absence.
   Tim Lane, Vincent Tanner, Steve Reid, Robert Hattrell and Paul Kennedy.
3. Appointment of a chairman due to Tim’s resignation.
   Alan D is meeting with Tim later this week so he will work out a list of aspects of the Chairman’s role.
   Alan will compose a letter to members to go out next month detailing the roles to find if anyone willing to help. In the letter it will stress that this can only afford to run as a voluntary organisation.
   As an interim step, until Easter, OOASC will fund someone to carry out secretarial and some of the chairman’s role but this will erode funds.
4. Minutes of Full Committee Meeting.
   The last meeting was cancelled.
5. Minutes of the Executive Meetings.
   Sixth form event was very well attended but there were some problems which Alan is dealing with John and Lynn.
   Ian is still dealing with AFA regarding matched funding. This is proving to be very slow but Ian is continuing.
6. Matters arising out of the Minutes.
   Previous meeting did not happen.
7. Finance.
   Linda handed around finance sheets. Derek would like clarification on the second sheet so Gill is going to be asked to phone him. The year end accounts are close to being finalised. Meeting on 27/11 with Brown Shiplee to discuss the bond (to be attended by Vincent, Sally, Alan D, Peter and Gill). When sorted money will need to be taken out to pay back money owed to school in fees etc and for matched funding that Ian is working on (approx. 30k).
8. Charging for use of the car park – Ian Breeze.
   Ian to open negotiations on behalf of committee.
9. Full governance and delegation – Dave Connatty.
   Dave has drafted delegation, rules and bye laws. Linda will type up and email to all committee members to read.
   Alan H is going to remove rules and bye laws from website until new version ready.
10. Membership – membership fees need to be discussed as they were not discussed at the AGM.
    Membership fees to remain unchanged.
    Alan H is to put together something for School Alumni Newsletter encouraging every Old Owenian to join as a non sporting member for £7.50.
11. The Ground.
    Tim has organised various work on the ground and it is looking good.
12. The Pavilion.
    Nothing to mention.
13. Lettings and Social events.
    David Dein evening was very good.
14. The Old Owens Sports Club Ltd.
    This is currently being wound up.
15. The Zoo Club.
    Been handed over to Alan H from Eammon. Latest statement dated 11/2 had £1,050 in account. More info by next meeting and at least one draw should happen.
16. Reports from Affiliated Clubs.
    Football from Ian – membership strong with various sides playing on Sat and Sun.
    Cricket – no report.
17. Old Owens Website
    Now up and running again.
18. Days and frequency of meetings as only organised up until end of 2015.
    Meetings are going to change to a Monday evening to allow Vincent to attend. Linda to put together a list of dates for next year and circulate to all members.
